Nayax Inactive Vending Machines: Which Status Stops Card Reader Billing?

Separate the dashboard machine profile from the physical payment device before a planned closure.

Hiding a vending machine does not stop its reader billing

If a vending location is closing temporarily, identify which Nayax Core record you intend to change. Nayax distinguishes the virtual machine profile from the physical payment device. Making the machine profile inactive hides it from the active dashboard view. The card reader keeps billing unless its device status is changed separately.

This guide follows Nayax's published instructions. It describes the payment-provider workflow, not a completed WEIMI customer project or a feature included with every vending machine.

Choose the record that matches the task

For dashboard housekeeping, the machine record is under Operations > Machines. For the card reader's active status and billing, the device record is under Administration > Devices. Nayax says setting the physical device to Not Active removes it from the billing plan. An inactive device cannot process credit cards, including contactless card payments.

Before making a change, match the physical reader to the correct account record. Record who owns the account, which reader is affected and when card acceptance must return. Do not assume that changing one machine profile automatically changes every associated payment setting.

Machine status: tidy the active dashboard view

Nayax's route is Operations > Machines. Search for the operator and machine, select the machine in the hierarchy, expand General Information and choose Active or Not Active in Status. Save and confirm that the selected value remains visible after the success message.

This change does not delete the machine profile. Nayax explains that choosing Choose in the search Status filter lets the operator view machines across statuses. It also explicitly states that machine deactivation does not deactivate the reader.

Device status: address billing and card acceptance

To follow the reader deactivation procedure, open Administration > Devices, search for the relevant device and select it in the hierarchy. Under General, find Status, select Not Active and save. Verify that the saved field shows Not Active.

Nayax instructs operators to check the next billing statement to confirm that the device has been removed. Keep the saved-status record and review the statement with the account owner. Do not infer a refund, a prorated amount or an immediate credit from a dashboard change; confirm any billing questions with the local provider.

Confirm reactivation terms before the shutdown

Nayax states that a reactivation charge applies. Ask the local Nayax partner or Nayax Support for the applicable amount and terms before deciding how to handle a short closure. This article does not quote a fee or promise that deactivation will save money for a particular downtime period.

When returning the reader to service, the official route is Administration > Devices and Status back to Active. If activation is greyed out, Nayax identifies an account compliance restriction and directs the operator to support. Do not try to bypass that restriction or treat it as a browser fault.

Keep payment status in the reopening handover

Assign someone to verify the reader's saved active status and complete the agreed payment check before customers return. If the machine profile was also hidden, review that separate status so staff can find the machine in their normal view. Stock, cleaning and equipment restart still need their own handover; see our vending holiday shutdown and restart guide.

For a new equipment enquiry, share the intended location, closure pattern, payment provider and person responsible for the provider account. WEIMI can review the requested equipment configuration; the provider must confirm its account and billing terms. Get My Custom Quote.
