The next delivery carries a redesigned label: the barcode has been squeezed beside a seam, a promotional sticker sits close to its edge and the background now shows through the clear packaging. A receiving clerk types the number after several failed scans. The vending cabinet may still sell the pack normally, but the stock-entry task has changed.

The GS1 US barcode placement and printing guide separates artwork, colour, placement and size. It explains that a barcode can look good and be formatted correctly yet fail to scan. Its advice includes high-resolution artwork and printing, a suitable light background, clear space around the symbol and avoiding reduced barcode height.

This buying brief concerns the physical printed symbol at a specified receiving, registration or refill step. It does not establish a new GTIN rule, a universal barcode grade, a 2D migration deadline or scanning support in any listed cabinet. Identify where a product barcode is actually used before paying for a reader or rejecting a vending format. Camera checkout, staff-card access and product-code scanning are separate functions.

Who Should Buy This

This review suits operators who scan individual packs during receipt or refill, distributors bundling stock tools with a cabinet quotation, and suppliers changing package artwork for a vending assortment. It also suits a workplace programme that uses product codes in its receiving process even though employees collect items with staff cards.

Bring together the packaging owner, stock-system owner and equipment supplier. The printer can address production artwork and substrate; the application provider can explain a failed lookup; the cabinet supplier can demonstrate the retail format. A single support ticket labelled “vending scan problem” can obscure which party has the evidence needed to resolve it.

If the project does not scan product codes, do not buy an unnecessary customer scanner to solve a warehouse issue. A manual stock process still needs accurate records and a clear exception route. Establish the existing steps and the proposed improvement before asking for a hardware feature.

How We Evaluate Smart Vending Machines

The three products below form a procurement shortlist based on current public WEIMI descriptions. We have not independently tested their readers, print tolerance or scan-to-stock integration. None is presented as a verified barcode-quality solution. The evaluation begins with the operating format and then identifies any product-code process around it.

For a proposed trial, use production-equivalent packs from the intended assortment. Keep the artwork version, supplier batch reference, package material and actual reader model or configuration in the record. Include the ordinary way the operator presents the item rather than choosing only a perfectly flat label at a convenient desk angle.

Observe whether the symbol decodes, what value reaches the application, which item appears and what quantity changes. Capture a failure as a failure; do not silently replace the pack with a cleaner sample. Separate an optical no-read from a readable but unregistered identifier. Specify a supported manual exception method while the responsible supplier investigates.

The number of samples, allowed conditions and acceptance criteria need agreement for the project. This article supplies no invented standard pass percentage or minimum grade. A competent barcode service can advise on formal verification where required; an operator trial alone is not described as a standards certificate.

Key Buying Factors

Artwork and print resolution. GS1 US recommends high-resolution artwork and high-resolution printing so the lines and spaces remain clean and readable. Request the approved production file and a final printed sample. A screenshot pasted into a packaging design is not evidence that the symbol was generated or reproduced appropriately.

Contrast and ink choice. The guide identifies black bars on a white background as the best colour combination. It calls for dark bars and light spaces or quiet zones, warns against red or reddish bars in the red-laser context, and recommends a single ink colour for the bars. Keep those recommendations tied to their source; do not claim that every modern image reader behaves identically.

The real background. A clear pack can make its contents the background when no symbol background is printed. GS1 US explicitly raises this issue. Ask the packaging owner to assess the final filled pack, not an empty transparent wrapper. If the background is printed, review the guide’s guidance on solid layers and avoiding voids. Procurement should request a readable final result rather than prescribe an unreviewed ink recipe.

Quiet zones and neighbouring artwork. The guide calls for a clear, unprinted area on the left and right of a UPC barcode. Keep promotional stickers, variable text and other graphics outside the agreed area. This brief does not give one millimetre value for every symbology; have the applicable symbol requirements checked by the packaging specialist.

Placement and surface. GS1 US says placement affects scanning and recommends, in general, the lower right of the back for checkout items, away from an edge and on a smooth surface. It also notes different guidelines for curved, bagged, bulky and other items. Apply the appropriate pack guidance; the general checkout recommendation is not automatically the best location for every receiving task.

Size and height. The guide describes the fixed height-to-width relationship of UPC barcodes, recommends full height and warns about truncation. It advises recreating artwork at the desired size rather than shrinking or enlarging existing art. A packaging designer should address a limited label area before production, not reduce height until the symbol happens to fit.

Change control. Attach the approved printed sample and version to the receiving acceptance record. Repeat the relevant checks when the pack changes in ways that can affect the symbol or how it is presented. Do not assume unchanged product identity means unchanged optical reading. A packaging change may also need separate recognition or dispensing trials.

This hypothetical example estimates manual exception labour during receipt. It is not a measured customer result, a printer quote or a forecast of sales. Assume 1,200 individual scan attempts per month, 90 seconds to investigate and enter each failed attempt, and a staff rate of $24 per hour.

The assumed monthly difference is $28.80. With a purely illustrative $360 allowance for review and artwork work, simple recovery of that allowance is 12.5 months before repeat printing, verification, software work or recurring costs. Obtain separate quotes for packaging changes, production samples, any formal verification and the stock-tool work. Do not charge the cabinet purchase against a label change without an appropriate business case. Measure the actual exception frequency and time first, and do not monetise unverified lost sales or avoided safety incidents.

A packaged-drink route with camera shopping: consider the AI fridge when the planned shopping behaviour and recognition trials support it. Keep label print checks in the receiving process and camera tests in the customer process. A corrected barcode can still accompany artwork that needs new recognition testing.

A conventional snack and drink route: consider WM22 for an approved assortment and configured channels. Define the stock-entry exception and the physical loading confirmation. A readable label does not stop an operator selecting the wrong channel unless the workflow addresses that association.

A workplace supply programme: consider the PPE system when staff access and issue policies meet the intended operation. Validate the product identity and pack handling around receipt separately from employee access. Maintain the organisation’s approved supply and emergency policies.

A supplier changing its packaging: request a final filled sample and approved artwork before rolling it into the route. In a hypothetical label refresh, the brand owner supplies the old and new printed packs with their artwork references. The receiving team compares the ordinary scan task and records any no-read. The application owner checks lookup results, while the cabinet supplier reviews recognition or delivery only where the change affects those functions. Each party signs off its own scope.

In a hypothetical multi-site receiving process, use an agreed sample set across the reader configurations that will actually be supplied. Record site lighting and the normal presentation method where relevant to the trial. A successful scan on a manager’s phone does not approve a different handheld reader or application on every route.

In a hypothetical workplace restock, the clerk receives packaged gloves by item identifier and later loads an approved machine channel. Employee access is tested with the permitted dummy role separately. The record should show what pack was approved and where it was loaded without treating the staff-card transaction as proof of barcode readability.

At an exception, retain the affected pack or usable evidence and identify the responsible owner. Avoid silently generating a second item record to escape an unreadable symbol. Correcting print, correcting a master-data mapping and changing a dispensing setup are different actions; document which one actually resolved the issue.
