The Cabinet Is the Same. The Delivery Point Is Not: GLN Planning for Vending Fleets

Keep machine identity, installation history and cross-company location references separate in the purchase specification.

WEIMI / FLEET DATA ARCHITECTURE

Which cabinet?
Which place?
Which delivery point?

Three questions deserve three clear meanings before the first partner export.

EQUIPMENT
INSTALLATION
PARTNER LOCATION

Introduction

A cabinet moves from a lobby to a different building. The cloud account still shows the old location name, the service engineer follows the machine serial number, and the replenishment supplier uses a delivery reference for the old loading bay. Nothing about the hardware has changed, but the records now point to different places. A purchase specification that treats “machine ID” and “location” as interchangeable leaves this problem unresolved.

The GS1 Global Location Number overview lists legal entities, functions, physical locations and digital locations among the uses of a GLN. Its physical-location guidance says that a location identifier answers “where” something has been, is or will be. A physical location is a tangible place that can be represented by an address, coordinates or other means.

For vending buyers, the lesson is to define what each record identifies before requesting an integration. This guide discusses a fleet mapping that separates a cabinet, its installation and a trading partner’s location reference. It does not require every operator to adopt GLNs, allocate a GS1 identifier or claim that WEIMI software already supports one.

Quick Answer

GS1’s physical-location page says a location must have its own GLN when its access address differs from other physical locations and there is a business need to identify it across organisations. That is a specific standards context, not a blanket claim that every shelf or cabinet requires a GLN. Allocation decisions should follow the relevant GS1 rules and partner requirements.

Comparison Table

Record Question it answers Example information to request
Cabinet or asset Which piece of equipment? Serial number, native system key and internal asset reference
Installation relationship Where was this cabinet during this period? Site reference, activation date and closure date
Delivery point Where should the partner deliver? Authorised partner reference, access address and receiving instructions
Organisation or function Who is responsible or acting? Contracting entity, operating role and approved contact mapping

The fields in this table are proposed purchase requirements. They are not a verified schema for a particular WEIMI product. Ask the supplier to demonstrate which records exist, what can be exported and what additional work would be required.

Who Should Buy This

This review is useful for an operator with machines that move between venues, sites that have several receiving entrances or trading partners that require standardised location references. It also helps a business acquiring a fleet: two owners may use the same short site names for different places, while the cabinets retain their original serial numbers.

Involve the asset owner, route planner, site contact and data administrator. Procurement should specify the exchange needed with the replenishment or service partner. The equipment supplier should show how its system identifies a machine. A venue contact should verify the actual entrance and access conditions; a postcode alone may not take a driver to the correct receiving point.

A small closed operation may need only controlled internal references. A partner exchange can justify a standardised identifier when both parties agree its meaning. Do not buy a paid integration just because “GLN compatible” sounds more advanced. Start with the workflow and the business need to share identity across organisations.

How We Evaluate Smart Vending Machines

The three real WEIMI candidates below are assessed from their current public listings. The comparison concerns the data-handover questions raised by their sales formats. It is a procurement shortlist, not independent testing or certification of GS1 support. No reviewed page establishes GLN storage, allocation, validation or installation-history exports.

We ask whether the operating records need to connect stock, transactions or staff issues to the correct cabinet and site. A remote inventory feature establishes that some operational data is described; it does not prove the exact identifiers available in a report. An integration reference on a page also does not establish an implemented partner-specific field.

The acceptance demonstration should use a proposed cabinet record, two distinct site records and a controlled change between them. Inspect a transaction before the move and one after it, a current machine list and an export for the partner. Ask the supplier to explain how the older record retains its original context. Do not rely only on the visible location name in a dashboard.

Key Buying Factors

Agree the location level. GS1 says a physical location within another location can receive its own GLN, and that certain sub-location circumstances can use a GLN extension component. The page illustrates examples such as a distribution centre, dock door and shelf. These examples do not determine the appropriate level for your project. Agree whether a reference means the building, receiving point or another defined space.

Keep asset and place concepts distinct. GS1 notes that a mobile location may also need separate identification as an asset, using a GRAI or GIAI. This guide does not decide that a vending machine is a mobile location or prescribe one of those keys. It uses the distinction to avoid assuming a location identifier is automatically the equipment identifier.

Request effective history. If the cabinet moves, ask how its relationship to the site is changed and how historical transactions remain attached to the appropriate installation. A proposed start-and-end record is an operator requirement to demonstrate. Overwriting “Lobby” with “Warehouse” may make the current display look correct while obscuring where previous sales occurred.

Separate delivery instructions from identity. A location reference should resolve to the authorised record, but the driver may also need a loading window, entrance description and contact. Ask which information is shared and who updates it. Do not use a new contact name as a reason to invent a new identifier; actual GLN maintenance decisions belong to the relevant rules.

Define partner mapping ownership. Identify who obtains the authorised GLN, validates what it represents and approves its association with the operator’s internal record. A check-digit result alone is not evidence that a reference belongs to the intended place. This article does not verify any live GLN or trading partner.

Make exports testable. Request a sample showing the native cabinet reference, agreed site reference and the partner mapping where required. Specify whether the data is current-state only or includes history. Ask how blank, duplicate or unrecognised references are handled. These are proposed acceptance checks, not promises that the product already enforces them.

ROUTE RETAIL

WEIMI WM22 Touchscreen Snacks & Drinks Machine

The WM22 public page describes a 21.5-inch touchscreen, inventory management, cooling and adjustable slot options. It is a candidate for a tested assortment of packaged refreshments. Confirm the exact channel configuration and local payment setup in the quote; this comparison does not use generic capacity or energy claims.

For a replenishment route, ask the supplier to show how a machine’s stock report relates to a cabinet and site. If the partner needs a delivery-point GLN, demonstrate the mapping in the required export or agreed external process. A remote stock function does not prove the report carries a standardised location field or retains installation history.

DIRECT-ACCESS RETAIL

WEIMI Single-Door AI Vision Smart Fridge

The AI fridge page describes packaged drinks and compatible snacks, camera-based checkout, cloud management and product registration with recognition testing. It is a candidate when shoppers browse and select several products. Similar-pack and multi-item recognition need demonstration with actual goods.

Ask how the checkout record identifies the cabinet and how the site relationship is managed when the unit changes location. For a temporary relocation, test which information reaches stock and sales outputs. GLN support, historic site linkage and partner exports remain unverified by the listing. Recognition accuracy and location-data accuracy are separate acceptance questions.

CONTROLLED STAFF SUPPLIES

WEIMI PPE Employee-System Vending Machine

The PPE page describes staff-card access, role-based permissions, configurable issue limits and downloadable reports, and discusses integration as a project option. It is a candidate for an approved supplies programme with a named policy owner. Access control does not certify the supplies or replace workplace safety arrangements.

In a multi-site project, specify whether an issue report must show the cabinet, installation and operating department separately. A department is not automatically a physical delivery point. Ask for the actual sample report and proposed interface scope. Do not infer implemented GLN fields or plug-and-play integration from a general mention of protocols or SDK discussion.

Feature Comparison

Purchase question WM22 AI fridge PPE employee system
Public operation Selection and channel dispensing Camera-based open-door checkout Staff-authorised supply dispensing
Data handover to inspect Stock and sales tied to route destination Checkout and stock tied to installed unit Issue reports tied to cabinet and responsible site
Additional mapping question Receiving point versus machine location Current site versus historical transaction site Department/function versus physical location
Unverified standard support GLN field and history export GLN field and history export GLN field and partner-specific interface

These formats differ in what their operational records represent. They share a procurement need to define identity clearly. Pick the format that suits the goods and user journey, then request a data demonstration appropriate to that format.

Cost & ROI Analysis

The following hypothetical example considers administrative matching time. It is not a GS1 licence price, an integration quote, a measured route saving or a machine payback claim. It assumes an approved mapping reduces a particular manual task without changing required verification.

Assumed input Calculation Illustrative value
20 monthly destination queries at 12 minutes each 20 × 12 ÷ 60 4 hours
Approved mapping reduces queries to 4 minutes each 20 × 4 ÷ 60 1.33 hours
Staff cost assumed at $30 per hour (4 − 1.33) × $30 About $80 monthly labour difference
Additional support assumed at $35 monthly $80 − $35 About $45 monthly net difference
Initial setup assumed at 8 hours at $30 $240 ÷ $45 About 5.3 months to recover setup cost

At only five such queries a month, the same eight-minute difference saves two-thirds of an hour, or $20 at the assumed rate. After the assumed $35 fee, the net difference is negative $15 per month. That case offers no positive recovery period for the setup cost. A controlled manual register may be more proportionate if it satisfies the partner workflow.

Obtain actual subscription, allocation and integration costs from the relevant providers where applicable. Count only time that can be usefully reassigned or removed from the schedule. Do not monetise fewer failed deliveries, fewer stockouts or improved traceability without project evidence. Equipment investment returns require their own quoted costs and operating forecast.

Best Choice by Scenario

A regular refreshment route: shortlist the WM22 if channel testing suits the assortment. Make the stock-to-delivery-point mapping a visible acceptance item. A building address may be insufficient when replenishment goes to a specific entrance.

A direct-access unit used at several venues: consider the AI fridge if actual-product recognition passes the agreed test. Require a controlled location-change handover so that current operations and historical transactions remain understandable.

A multi-site workplace supplies programme: consider the PPE system after access and issue-limit demonstrations. Keep operating departments, staff permissions and physical delivery points distinct. Confirm what reports and interface work are included.

A project with no external location-reference requirement: start with disciplined internal mapping. Adopt GLNs only where the intended partner exchange and applicable GS1 guidance justify the scope. A native machine ID may remain useful, provided its relationship to other records is clear.

Applications

Create a proposed mapping register before the first software import. Include the internal asset reference, manufacturer serial, native system key, current installation reference, agreed partner location reference and the person approving each association. Record the meaning of each field. The register is a suggested procurement artefact, not a standard WEIMI template.

For a hypothetical hospital campus, a supplier delivers to a central receiving dock while two vending cabinets stand in different buildings. The delivery point and installation sites should not be collapsed into one ambiguous name. Ask the partner which level it needs for its messages and demonstrate how stock moves from receiving to the cabinets. This is an example, not a verified customer case.

For a hypothetical office relocation, retain the cabinet identity and close the old installation relationship in the proposed history. Approve the new site and delivery mapping, then inspect a report covering dates on both sides of the change. Actual GLN allocation or change decisions must follow the relevant rules; this guide does not say that every move has the same outcome.

Finally, test an exception with a blank or conflicting partner reference in a controlled demonstration. Determine whether the import is rejected, flagged or handled manually. Record who can correct it and how that correction is approved. An integration that silently accepts an ambiguous destination can be harder to operate than a simple process that clearly asks for review.

FAQ

Does every vending cabinet need a GLN?

No such blanket requirement is made here. GS1 identifies specific uses and allocation conditions. Determine the cross-company business need and appropriate location level with the partner and relevant GS1 guidance.

Can a machine serial number identify the delivery point?

It identifies equipment in the proposed asset record. A delivery-point mapping may be associated with it, but the serial alone does not explain the current entrance, installation or trading-partner reference.

Can a sub-location have its own GLN?

GS1 says a physical location within another physical location can be allocated its own GLN, and certain circumstances may use an extension component. Assess the actual requirement rather than allocating one to every shelf automatically.

Does moving a cabinet always require a new GLN?

This article does not give that allocation ruling. Separate the equipment move from the identity of the place and consult the relevant GS1 management rules and partner requirements.

Do public WEIMI listings prove GLN integration?

No. The reviewed pages describe operating features used in the shortlist. GLN fields, mappings and historical exports must be demonstrated or separately scoped.

Are the example sites and savings real customer results?

No. The sites and financial values are explicitly hypothetical procurement examples. No delivery, revenue or traceability improvement has been measured here.

Final Recommendation

Approve the meaning of the data before approving the interface. Keep cabinet identity, installation history, delivery point and organisational role distinguishable, then demonstrate the exact handover a partner requires. A clear mapping should survive a move without making earlier records unintelligible.

Use the WM22, AI fridge and PPE employee system as public-list candidates for their appropriate operations. Ask for real samples of reports, field definitions and proposed integration scope. No product in this guide is independently tested or represented as already compliant with a GLN implementation requirement.

Sources and limits: GS1’s GLN overview and physical-location page were read directly, alongside current WEIMI listings. Allocation-rule documents, other linked ID-key standards and the decision-support tool were not reviewed in full. No identifiers were issued or verified, and no universal legal adoption requirement is claimed.

CTA

For a fleet quotation, provide the intended goods, sites, receiving points, proposed operating roles and partner data requirements. Include an example of the report or message that must identify the cabinet and destination. Ask which native keys, fields and export options the supplier can demonstrate.

Request a fleet-data and configuration review

Obtain written mapping ownership, included interface scope and a location-change acceptance test before approving the equipment order. Consult the relevant GS1 organisation for actual identifier allocation decisions.
