Custom Vending Support Budget: Distinguish Parts, Labor and Response

Read the service scope before treating support as included.

A support statement can leave important budget questions unanswered. For custom vending equipment, identify which parts, labor and service arrangements are included and under what conditions. Do not convert a general warranty claim into an assumption that every operating expense is covered.

Review a plausible service event

Ask who diagnoses a fault, supplies a replacement part and carries out the work. Clarify applicable freight, travel and local labor responsibilities. Use the actual proposed terms rather than assuming the supplier will attend the site.

Define the initial spares scope

Ask the manufacturer to recommend any project-specific spares and explain the basis. Identify the configuration covered and how replacements will be ordered. A generic kit may not match a custom component or a later production revision.

Budget beyond the first response

Record service hours, communication channels and any paid support arrangement that applies. Ask how out-of-scope work is quoted. Keep inventory, replenishment and ordinary site labor separate from technical support so the operating budget does not hide them under a broad maintenance label.
