An expired custom vending quotation is a record of an earlier proposal, not a current commitment. Before using it for purchase approval, ask the supplier which prices, configuration details and delivery assumptions remain valid. A familiar total can conceal an outdated scope.
Identify the quoted model, options, software scope and approved goods. Ask whether components or external dependencies have changed. If the buyer has changed the requirements, provide the revised brief instead of requesting the old price without context.
Check transport, destination handling and site work with the responsible providers. Record currencies and the date of any conversion used for internal planning. Avoid presenting an old exchange calculation as a guaranteed settlement amount.
Compare the refreshed quotation with the previous version by scope as well as total. Ask the supplier to explain material differences. Retain the earlier record for comparison, but clearly identify which revision supports the current decision. This prevents different team members from approving a configuration and a price that never belonged to the same proposal.
