Wi-Fi or Mobile Data for a Vending Machine: What to Compare

A free Wi-Fi network is not automatically the cheapest reliable connection for a vending machine. If it requires repeated sign-in or changes without notice, the operator may spend more on service visits than on a supported mobile data plan. Mobile data has its own limitations, including coverage and recurring charges.

Begin with the connection methods supported by the exact machine and payment terminal. They may use separate devices or services. A machine dashboard connected over Wi-Fi does not prove the card reader uses the same network.

Map the devices that need connectivity

List the machine controller, payment terminal and any other connected component. Ask which connection each uses and who supplies it. Record whether the quoted service includes a SIM, data allowance, platform subscription or only the hardware.

Identify dependencies between the components. If the payment reader connects independently, changing the machine's Wi-Fi may not fix a payment outage. A simple connection diagram helps the operator contact the right support team.

Check how the building network grants access

Public Wi-Fi often uses a browser sign-in page, temporary access or session limits. Confirm that the proposed equipment supports the site's actual arrangement. Do not assume that entering a password once will provide permanent unattended connectivity.

Have the property IT team review the device requirements, permitted network access and support process. Use the approved network arrangement and credentials. Do not weaken security settings or attach the machine to an unrelated network merely to make a demonstration work.

Test mobile coverage at the installed position

Coverage can differ between carriers and inside metal cabinets or recessed locations. Test the supported terminal and antenna arrangement with the door closed. A phone showing strong service is only a preliminary indication, particularly if it uses a different mobile network.

Ask whether the data service can operate in the installation country and whether roaming or network changes affect cost. Confirm which party manages the SIM and what happens if the service expires. Avoid assuming that a factory test connection is the intended long-term plan.

Compare the full recurring cost

List connectivity charges separately from payment transaction fees and management software. Check whether a bundled price changes when a subscription renews or when the machine moves to another market. Confirm any data limits and the activities that consume the allowance.

Include the cost of support and site visits. A connection that fails frequently can interrupt sales and make stock records stale. Conversely, paying for a mobile service that performs poorly inside the building does not improve reliability merely because it is dedicated.

Agree who owns network changes

Building passwords, access policies and routers can change. Establish how the operator will be notified and who can update the machine through the supported process. Keep credentials in an appropriate secure system rather than on a public label.

For mobile service, define who handles subscription problems, SIM replacement and provider escalation. Record the device identifiers needed for support without exposing sensitive account information to customers.

Plan for an outage

Ask what each component does when its connection is unavailable and how the outage becomes visible. A dashboard may detect missed communication, but the response interval and notification arrangements need confirmation.

If a backup connection is proposed, verify that the hardware and software support it and test switching through an approved procedure. Two available networks do not guarantee automatic recovery. Include the handling of interrupted transactions and delayed stock records in the test.

Make a site-specific choice

Wi-Fi may be practical where the property provides a stable approved network and a clear support contact. Mobile data may suit sites where that access is unavailable, provided the supported network performs adequately. The decision should follow the evidence at the location.

Document the choice in the site survey and verify it during commissioning. Review offline behaviour as a separate requirement. When requesting a machine proposal, specify the country and available network arrangements so connectivity is included in the configuration discussion.
