A vending machine that powers on is not yet ready for customers. Commissioning checks the complete installed system: the cabinet, product configuration, payment connection, management records and the people who will operate it. Testing these parts together can reveal problems that a factory demonstration or delivery inspection would not show.
Agree the test plan with the supplier before installation. Use the ordered specification and the actual products intended for sale. Keep a record of the results, unresolved items and the person responsible for each correction.
Check that the equipment is positioned, levelled and secured according to the manufacturer's instructions. Verify required ventilation and service clearances. Have the electrical connection checked by appropriately qualified personnel and follow any model-specific procedure after transport.
For refrigerated equipment, establish the required operating condition before loading saleable food. Verify temperature using the agreed method and record the conditions during the check. An air reading on a screen does not automatically prove that every product has reached its required storage temperature.
Use the actual sizes, weights and packaging proposed for the assortment. Check loading orientation and usable capacity. A demonstration with one convenient sample does not prove that a flexible pouch, tall bottle or fragile box will travel through the same mechanism reliably.
Test relevant positions and loading conditions under the supplier's approved procedure. Record damage, double deliveries, jams and items that become difficult to retrieve. Adjust only within the permitted configuration and repeat affected tests after changes.
Confirm that the reader belongs to the correct merchant account and supports the intended currency and payment methods. Test selection, payment, delivery and the final transaction record. Check that the customer-facing price matches the charged amount and the management record.
Use a controlled test arrangement agreed with the provider. Record and reconcile any real charges or refunds created during testing. Do not assume that a successful approval message proves settlement or that a failed vend automatically produces the correct reversal.
Ask the supplier to demonstrate the supported handling of unavailable products, failed delivery and connection loss. Use documented test methods; do not create faults by pulling live cables or bypassing safety devices. Confirm which failures stop sales and which require operator action.
Check the customer message and the corresponding event record. A useful failure message should make the next step clear, while the operator needs enough detail to investigate. Record who handles refunds and which system provides the transaction reference.
Compare the machine's physical state with the dashboard after test purchases and refills. Check stock changes, price updates and the time of the latest communication. Confirm any configured alerts with the supplier and verify the recipient rather than merely seeing an email field populated.
Ask how information is queued or reconciled during an offline period. Different systems support different behaviour, so document the actual configuration. Identify which functions depend on an active subscription or separate provider account.
The operator should perform the routine tasks while the trainer is present. Watching a demonstration is not the same as being able to complete a refill or investigate an alert independently. Keep access permissions appropriate to each person's role.
List any failed checks with a remedy and retest requirement. Decide with the responsible parties whether an unaffected part of the machine can operate safely while a selection remains disabled. Do not describe the installation as fully accepted while material agreed tests remain unresolved.
Retain the commissioning record alongside the delivery inspection and site survey. When requesting a machine quotation, ask what commissioning and training are included so the first customer sale follows a verified setup.
