Smart Fridge Vending Restocking: A Handover Between Stock and System Records

A practical sequence for keeping physical products and the approved assortment aligned.

Restocking a smart fridge vending machine changes more than the visible quantity on a shelf. It can also change the product mix, the approved arrangement and the information used by an operator to investigate later exceptions. A short, repeatable handover makes those changes easier to trace.

Before loading

Check incoming products against the approved assortment and the operator's storage and date-control procedures. Separate unexpected substitutions or changed packaging for review. A staff member should not have to decide at the cabinet whether a new item is technically compatible.

Follow the supplier's authorized replenishment mode and access procedure. Confirm how customer access is managed while staff work. Do not assume all cabinets can remain available for purchases during loading.

While arranging stock

Remove products according to the operator's rotation and suitability rules. Use the approved shelf map when placing replacements. Record discrepancies such as a missing item, an unexpected package or damaged stock through the established process.

Where the system requires an inventory or assortment update, identify the authorized person and required sequence. A physical count and a software adjustment should refer to the same event rather than become unrelated end-of-shift tasks.

Before returning to service

Complete the manufacturer's checks and the operator's food safety checks. Confirm that the cabinet is closed and that the required transaction or stock status is ready. Document exceptions and prevent unresolved stock from being silently treated as approved inventory.

The handover should tell the next operator what changed, what remains unresolved and who owns the follow-up. Ask WEIMI which steps are required for the proposed configuration, then adapt the operating procedure to that documented workflow.
