Before the Custom Vending Machine Arrives: Budget the Site Work

Separate equipment procurement from the work needed to receive and operate it.

The purchase price of a custom vending machine does not establish the cost of preparing its destination. Site work should be estimated from the offered model's documented requirements and an actual location survey. Avoid assuming that a familiar-looking power outlet or doorway makes a site ready.

Ask the site team for a task list

Review access, unloading, positioning, required utilities and connectivity. Ask the manufacturer for the installation conditions that apply to the offered configuration. Have suitable local personnel assess work that requires their expertise.

Allocate costs by owner

Identify work performed by the equipment supplier, building team and external contractors. Ask whether installation attendance, training and any return visit are included. An installation service may have a limited scope even when its name sounds comprehensive.

Allow for unresolved work transparently

Keep an estimate or allowance separate from a confirmed quote. Record its basis and the decision needed to replace it. Do not disguise uncertainty by increasing the machine price line. The budget becomes more useful when the buyer can see which costs are firm and which depend on site conditions.
