After the Custom Vending Design Is Approved: How to Request a Change

Make late changes reviewable without losing the agreed production baseline.

Design approval does not prevent a buyer from requesting a change to a custom vending machine. It creates a baseline against which the effects can be assessed. A controlled request helps the project team understand what must be revisited before work proceeds.

Describe the reason and affected scope

Identify the approved requirement or drawing involved, the requested difference and the operating reason. Attach revised samples or artwork where relevant. Avoid sending a short message that names a replacement but leaves its dimensions or revision uncertain.

Ask for an impact review

Request the effect on development work, procurement, testing, documents and delivery planning. The supplier should identify work already completed and what can still be changed. Obtain the applicable commercial proposal rather than assuming a late adjustment is included.

If the change affects an interface, involve the other responsible provider. A cabinet alteration may also change artwork placement, service access or installation assumptions.

Close the decision before implementation

Record who approves the technical and commercial effects. Update the baseline and tell the people using superseded information which revision now applies. If the change is deferred, make clear which configuration will be delivered.

A change record should let a person joining the project later reconstruct the decision without searching through scattered messages.
