A Component Changes Before Production: Ask What Else Changes with It

Assess substitutions against the approved custom vending configuration.

A component substitution in a custom vending project needs a review of its effects. A replacement may appear equivalent by name while changing installation, software behavior, servicing or documentation. Ask for the differences before accepting the revised build.

Begin with a change notice

Identify the original component, proposed replacement, affected units and reason for the change. Ask whether dimensions, electrical requirements, communication interfaces or operating limits differ. The supplier should identify the evidence supporting compatibility with the agreed configuration.

Review the operator consequences

Will the operating instructions change? Are the replacement parts interchangeable with the installed fleet? Does a technician need a different procedure or tool? If the change affects an external service, include that provider in the review.

Do not assume that a previously accepted demonstration covers the substitution. Agree which tests or document updates are needed in proportion to the changed functions.

Keep the decision traceable

Record approval, rejection or further questions against the change notice. Update the configuration record for the affected machines. For a mixed fleet, make it possible to identify which units contain which component without opening every cabinet.

A substitution decision should preserve the buyer's understanding of the equipment being purchased. It should not disappear into a revised parts list that nobody compares with the approved baseline.
