Refills, exceptions and maintenance still need a plan.

THE DECISION IN ONE LINE

Neither format wins every location. Compare the exact configuration, its operating requirements and the contribution left after all costs.

01   /   BUYER NOTES

Start with how customers buy

An AI smart cooler typically lets a customer obtain access, choose products and close the door before the supported system completes the basket and payment. A conventional vending machine usually accepts a selection and delivers the purchased item through a defined mechanism. Individual designs can differ, so request a complete demonstration.

The difference matters when customers want to inspect packaging or buy several items. However, do not assume all coolers support every shopping behaviour or all conventional machines require separate payments for each item. Check the actual software and payment configuration rather than relying on a category label.

02   /   BUYER NOTES

Test the assortment, not the sales pitch

For a conventional machine, product dimensions, orientation and packaging affect reliable dispensing. For a smart cooler, shelf layout, product registration and the recognition method can affect operation. Both need testing with the products you intend to sell, including similar-looking variants and normal packaging changes.

Inspect the delivered or collected product as well as the transaction result. A system that records a sale correctly can still be unsuitable if packaging is damaged or retrieval is awkward. Include stock levels and representative positions in the agreed test, rather than accepting one successful demonstration.

03   /   BUYER NOTES

Compare the work that remains

Both formats require stock purchasing, transport, loading, cleaning and customer support. A cooler may change how products are loaded, but it can introduce basket-review or catalogue-maintenance tasks. A dispensing machine needs its own loading references and fault-handling process. Measure these duties instead of assuming automation removes them.

Use the same assortment and service interval when estimating labour. Include waste, failed purchases and extra visits. A cabinet holding more product choices may still need frequent service if the most popular item has little allocated space. Ask how inventory corrections and product substitutions are recorded.

04   /   BUYER NOTES

Build the cost model around the actual offer

Compare hardware, delivery, site preparation, payment fees, connectivity, software and support. A recognition service or management subscription may be separate from the cabinet price. For conventional equipment, remote features and payment hardware can also add recurring costs. Missing information should be marked unknown, not entered as zero.

Ask what happens during connection loss, how customers report a wrong charge and who resolves each type of fault. A higher purchase price or newer technology does not establish better profitability. Use a pilot or documented site evidence to test demand and operating contribution before expanding.

The comparison to request from both suppliers

Product handling

Smart cooler: Verify the approved catalogue, shelf layout and take-and-return behaviour.

Conventional vending: Verify lane fit, delivery reliability and pickup condition.

Payment and support

Smart cooler: Check access authorisation, final basket and dispute review.

Conventional vending: Check selection, payment, delivery confirmation and refunds.

Connected operation

Both formats: Ask which functions need a live connection and what records remain available during an outage.

PRACTICAL ANSWERS

Questions worth asking before you order

Does an AI cooler always sell more?

No. Demand, prices, assortment and availability determine the result at the location. Claims about larger baskets need evidence from a comparable operating setup.

Which format is easier to maintain?

Compare the specific tasks, parts support and technician access. Product recognition and mechanical delivery create different responsibilities; neither description establishes a universal maintenance advantage.

What should the acceptance test include?

Use real products, supported payment methods, representative shopping sessions, inventory updates and a documented exception process. Keep the test results with the ordered configuration.

YOUR NEXT STEP

Bring one product list to the comparison.

Prepare package dimensions, installation country, site conditions and your refill plan. Review the smart cooler cost breakdown before requesting proposals.
