Compare the cabinet, recognition service, payment setup and ongoing support as one operating system.

The price of an AI smart cooler is only useful when you know what is included. A cabinet, payment reader and product-recognition service work together, but they may come from different providers and appear on different invoices. The lowest equipment price can therefore be a poor basis for comparing two proposals.

Begin with your actual product list and installation country. Ask for a configuration that supports those products, the required payment methods and the site's conditions. A general price range from a search result cannot establish the cost of that specific project.

What belongs in the initial cost?

The starting quote should identify the cabinet model, refrigeration arrangement, recognition hardware, payment terminal and connectivity equipment. Ask whether shelves, lighting, branding and any required accessories are included. Confirm the electrical specification and installation limits for the intended location.

Product setup also deserves a line in the discussion. Find out how products enter the recognition catalogue, who provides the samples or images and whether initial setup is included. A buyer planning frequent assortment changes needs to understand the ongoing workflow as well as the launch work.

Then add transport, import-related costs where applicable, unloading, internal positioning and site preparation. Ask where the quoted delivery service ends. A machine at a port or loading bay is not yet a commissioned retail point.

Keep commissioning and staff training visible. The demonstration should cover a complete customer session, actual product recognition, payment reconciliation and exception handling. If the proposal excludes these tasks, budget the people and time needed to complete them.

Which costs continue after installation?

Ask whether recognition processing, remote management, connectivity or support requires a subscription. Record the term, renewal basis and functions available at each service level. Do not assume that buying the cabinet provides permanent access to every connected feature.

Payment charges need a separate review. They may include transaction fees, fixed monthly charges and other provider costs. Confirm which party supplies the terminal and which party manages the merchant account. Supported methods and settlement arrangements can vary by market.

Operating costs also include stock, waste, cleaning, electricity and replenishment labour. Use measured or appropriately specified energy information for the proposed conditions rather than multiplying a maximum power rating as if it represented constant consumption.

Consider the work required to review disputed baskets or recognition exceptions. Ask who performs that review, what records are available and whether any charge applies. A system can be convenient for customers while still requiring an operator process behind it.

How should two offers be compared?

Use one reference assortment and ask both suppliers to demonstrate it. Similar-looking packaging, multiple-item baskets and returning an item before closing are useful supported scenarios to examine. Record limitations and any required shelf arrangement.

Compare the total cost for a clearly defined period, including all quoted recurring services. Keep uncertain expenses as labelled estimates rather than entering zero. Check what happens when a subscription ends, a payment provider changes or the machine moves to another country.

Review warranty and support ownership. If a customer is charged incorrectly, the relevant issue may involve recognition, payment or the product catalogue. The operator needs a clear route to the responsible party, not several suppliers each assuming another will respond.

Finally, calculate the sales contribution needed to support the complete cost. Do not use a claim about larger baskets or reduced labour as a guaranteed result. Test those assumptions at the actual location and include ordinary refilling, cleaning and support work.
