Sending Product Samples for a Vending Test: Label the Pack Versions and Requested Checks

A useful sample shipment tells the test team what each item represents and what decision the trial must support.

WEIMI INSIGHTS   /   SAMPLE TEST PREPARATION

Give every sample a reason to be in the test.

A useful sample shipment tells the test team what each item represents and what decision the trial must support.

IDENTIFY

Name the product and packaging version.

REPRESENT

Include relevant normal variation.

DECIDE

State the questions the trial should answer.

THE DECISION IN ONE LINE

A box of unlabelled products creates avoidable uncertainty. Agree the sample requirements with the supplier and keep each test result connected to the exact pack used.

01   /   BUYER NOTES

Agree the sample scope before shipping

Tell the equipment supplier which products and configurations you want to evaluate. Ask what samples and information are needed for that trial. Do not assume one empty package can establish compatibility for a full assortment of filled products.

Separate a preliminary fit review from a complete handling or process test. The required sample may differ for each purpose. A clear scope helps avoid paying for transport only to discover that the received items cannot answer the intended question.

02   /   BUYER NOTES

Label the product and packaging version

Use a simple identifier for each sample type and provide a matching list. Include relevant external dimensions, filled weight and pack version as supplied by the product owner. Keep the information accurate rather than replacing missing measurements with guesses.

If two packs contain the same product but use different lids or sleeves, identify them separately. The test team should not have to infer which version is intended for production. A successful result has limited value when nobody can identify the package that produced it.

03   /   BUYER NOTES

Include representative variation deliberately

Explain which samples represent the smallest, largest or otherwise relevant normal variations in the approved range. The right selection depends on the product and mechanism, so agree it with the supplier. Do not select only unusually neat samples to make the trial look successful.

Mark prototypes clearly and state what may change before production. A prototype result can support an early decision while still leaving final-pack testing necessary. Keep that limitation visible in the test request and resulting report.

04   /   BUYER NOTES

Provide appropriate handling information

Share the relevant product and packaging instructions needed to receive, store and test the samples. For food or other products with specific requirements, coordinate suitable transport and handling with the responsible parties. Do not assume the machine supplier can accept every type of sample shipment.

Confirm who arranges shipping and any destination requirements through appropriate logistics guidance. The test brief should not expose unnecessary customer information or unrelated business data. Send what is needed for the compatibility review, using the agreed destination and contact process.

05   /   BUYER NOTES

Name the observations you need

A fit test may answer whether a pack can be loaded, while a complete trial also examines movement, collection and condition afterward. List the relevant questions and the evidence you expect, such as labelled observations or a demonstration of the complete path.

Do not request a generic “passed” result without criteria. The supplier and product owner should understand what counts as acceptable for the intended retail item. Where food-process validation is needed, keep that professional scope distinct from a mechanical vending test.

06   /   BUYER NOTES

Connect the results to the next configuration decision

After the trial, record which sample and equipment configuration produced each result. Identify any changes proposed and which checks must be repeated. A packaging adjustment should not be silently treated as approved before the revised sample has been assessed.

Keep the final accepted pack details with the order and refill instructions. This turns the sample exercise into a useful operating baseline. Without that link, a later supplier substitution can undo the value of a careful initial trial.

Three useful sample labels

Production pack

Means: Represents the intended retail unit.

Record: Exact product and packaging identity.

Variation sample

Means: Represents a relevant normal limit.

Record: Why it was included in the trial.

Prototype

Means: Supports an early feasibility question.

Record: What remains subject to change.

PRACTICAL ANSWERS

Questions worth asking before you order

Is one empty box enough?

It may help an initial fit review, but it does not establish filled-product handling or every other requirement.

Can a prototype test approve a changed production pack?

Review the differences and repeat affected checks before final approval.

Should every test end with a simple pass or fail?

The result should also state the sample, configuration, conditions and any limitations.

YOUR NEXT STEP

Prepare a traceable sample brief

Agree the sample list and required compatibility checks with WEIMI before arranging delivery of the intended retail packs.
