WEIMI / SUPPLIER DOCUMENT RELEASE
The Vending Quote Workbook Has Hidden Sheets. What Will the Supplier Receive?
Review the release copy without silently changing the figures the supplier must price.
Original model → reviewed release copy → confirmed supplier task
RELEASE REVIEW / 01
Introduction
A buyer sends a workbook to obtain three vending equipment quotations. The visible sheet contains the requested cabinet format, delivery destination and response columns. A hidden sheet contains internal budget assumptions and another supplier’s earlier comparison. A third hidden sheet provides the exchange-rate input used by the visible total. Making every hidden sheet disappear without review could solve one problem while creating another.
This is a release-file decision. The buyer needs to establish which information the recipient may receive and whether the issued figures still mean what the buyer intends. It is separate from locking input cells, controlling a shared-folder link or printing only visible rows. An editable workbook deserves review as a complete file.
Microsoft’s Document Inspector guidance, with the Excel tab selected, explains that recipients might unhide hidden rows, columns or worksheets. It also warns that removing hidden worksheets containing data might change calculation or formula results. Those two points belong in the same procurement review. No real WEIMI customer workbook or supplier submission has been inspected for this article.

Quick Answer
Prepare and approve a separate release copy. Review the hidden sheets before deciding what to retain, remove or replace. Preserve the original, identify the recipient’s pricing task, examine dependencies and recheck the saved release figures.
Do not treat a hidden tab as excluded from delivery. Do not treat “Remove All” as a harmless presentation change. Microsoft recommends inspection on a copy because removed data cannot always be restored.
A useful release record contains the original revision, intended recipient, approved data scope, reviewed calculation outputs and exact released filename. Approval should describe the file that will actually leave the team, rather than a screenshot of its first visible sheet.

Comparison Table
| Action or observation | What it establishes | What still needs review |
|---|---|---|
| Worksheet tab is hidden | It is not currently shown in the ordinary tab view | Whether the recipient may receive its underlying content |
| Input cells are protected | Certain editing actions are restricted by the workbook design | Information release scope and file-opening access |
| Inspector reports a hidden worksheet | A category of hidden content has been detected | Its business purpose and calculation dependencies |
| A reviewed release copy is saved | A separate candidate deliverable exists | Its outputs, content scope and recipient task |
| Supplier opens the approved file | The delivered file is accessible in that environment | Correct response fields and preservation of required figures |
These checks address different questions. A worksheet can be hidden for a legitimate calculation purpose and still require attention before external distribution. A clean-looking front page cannot settle that decision.

Who Should Buy This
This review suits distributors issuing editable cabinet specification sheets, workplace buyers comparing several machine formats, and procurement teams reusing a previous project’s quotation workbook. It is especially relevant when a template combines internal evaluation tabs with supplier response tabs.
The purchasing owner should define the required supplier answer. A workbook owner who understands the formulas should review dependencies. The person authorised to release commercial information should approve the final scope. These can be the same person in a small business, but the decisions still need to be explicit.
It is not an instruction to delete confidential information from a master record or investigate another organisation’s protected workbook. Work only on files the team is authorised to review. If a supplier needs a narrower input form, ask whether a purpose-built response copy would be clearer than circulating the full internal model.

How We Evaluate Smart Vending Machines
The machine comparison below is a procurement shortlist based on public WEIMI product descriptions, not independent testing. We use those descriptions to distinguish operating formats. We have not tested any cabinet’s spreadsheet import, document inspection, workbook security or automatic quotation functions, and none is inferred from its retail interface.
For this project, the evaluation document should separate a product claim, a buyer requirement and the supplier’s confirmed answer. For example, a touchscreen listing may support a question about menu presentation; it does not answer a question about the buyer’s document-release controls. A quote sheet should let the supplier make that distinction.
Our proposed acceptance exercise starts with an authorised copy containing representative, non-sensitive example data. The workbook owner identifies hidden-sheet purposes and dependent outputs, creates the permitted release version and compares the resulting totals and requested response fields. A reviewer then opens that saved version using the intended receiving workflow. This is a suggested purchasing exercise, not a Microsoft certification test or a claim of observed results.

Key Buying Factors
Release population. Identify the named recipient and the decision the file supports. A machine supplier may need product dimensions, quantities and site requirements without needing the internal scoring model. A finance reviewer may need assumptions that are unnecessary for a packaging vendor. Decide from the task rather than the convenience of an existing attachment.
Calculation ownership. Before removal, ask what each hidden sheet does. An exchange-rate assumption, option-price lookup or service-cost schedule can feed a visible result. Microsoft advises closing the Inspector, unhiding and reviewing content when its purpose is unknown. Do not guess that an apparently empty screen means an unused dependency.
Review breadth. The guidance describes categories beyond hidden worksheets, including comments, properties, external links and embedded objects. It also identifies information the Inspector can find but cannot remove automatically. A single hidden-sheet result is not a promise that all remaining file content is suitable for external release.
Usable response design. Preserve model names, quantities, units, revision identifiers and the requested price basis. If the approved release uses static approved figures instead of an internal model, label that decision clearly and ensure the supplier knows which fields to complete. Rebuilding a release copy is a business choice that needs review, not an automatic recommendation to flatten every workbook.

Best Smart Vending Machines
WM22 touchscreen snack-and-drink format
The public WM22 listing describes touchscreen selection, product information and promotional presentation for packaged snacks and drinks. Put the required assortment and menu questions in the supplier response area. Keep an internal ranking sheet out of the release unless its distribution is approved.
Single-cabinet AI retail fridge
The single AI fridge listing describes an open, select and close packaged-retail format with cloud functions. It is not evidence of fresh-juice preparation. Ask for confirmation of the proposed assortment and operating process in the quote copy; do not fill those answers from hidden budget assumptions.
Dual-cabinet vending format
The dual-cabinet listing presents a main portrait menu with a secondary visible spiral cabinet. A response form should identify which section each requested option concerns. A hidden comparison of a different configuration should not silently determine the issued total.
No format wins because a workbook has been inspected. Choose the retail operating model through a supplier-confirmed specification, then release the documents needed to price that model accurately.

Feature Comparison
| Procurement field | Useful external content | Internal review question |
|---|---|---|
| Product format | Named cabinet and configuration under discussion | Does a hidden lookup substitute a different model? |
| Assortment | Approved package list or representative trial requirements | Are internal sales forecasts being included unnecessarily? |
| Quantity and location | Required units and authorised delivery/site information | Is the same quantity used by dependent totals? |
| Options | Separately identified proposed items and response fields | Does a hidden option table affect displayed sums? |
| Commercial response | Explicit price basis and supplier confirmation fields | Has internal evaluation material been reviewed for release? |
These are buyer document fields, not verified built-in features of the three machines. Keep unknown equipment capabilities marked for supplier confirmation. A spreadsheet’s completed cell is not proof of machine compatibility.

Cost & ROI Analysis
Hypothetical review budget only. Assume a workbook owner spends 45 minutes reviewing hidden-sheet purposes and dependencies at an internal planning rate of USD40 per hour. That is 0.75 × USD40 = USD30. Assume a second reviewer spends 30 minutes checking the final saved copy at USD30 per hour: 0.5 × USD30 = USD15. The assumed combined review allowance is USD45.
This is not a WEIMI fee, a supplier quote, measured labour time or a quantified return. A complicated model can require a different process and more effort. No probability or cost of a disclosure or pricing error is known here, so there is no evidence for a payback period.
| Assumed activity | Calculation | Planning amount |
|---|---|---|
| Dependency and content review | 0.75 hour × USD40/hour | USD30 |
| Saved release copy check | 0.5 hour × USD30/hour | USD15 |
| Illustrative total | USD30 + USD15 | USD45 |
Keep machine economics separate: equipment cost, installation, replenishment, fees, service and site demand need project evidence. Cleaning a workbook does not establish sales, margin, stock turnover or return on a cabinet purchase.

Best Choice by Scenario
One buyer, several competing quotations. Create an approved supplier response version for each intended disclosure scope. Use comparable questions and units, while keeping the internal comparative assessment under its own release decision. Do not accidentally send an earlier competitor’s answers merely because they sit on a hidden tab.
An internal model feeds the requested budget total. Have its owner trace the dependencies before changing the release copy. If an approved output replaces a working calculation, record which version produced it and recheck the displayed amount. The appropriate choice depends on whether the recipient needs to edit the model or only respond to a specification.
A reusable workbook has an unknown history. Pause external release while the responsible team reviews the original and candidate copy. The Inspector can help identify categories, but the business owner must resolve what the findings mean. Reusing the latest filename is not evidence of a completed release review.
RELEASE REVIEW / 11
Applications
A workplace operator can use this process when a host spreadsheet combines site details, buying limits and supplier questions. A distributor can use it when adapting a master multi-model price comparison for a customer. A fleet buyer can use it when regional teams submit requirements through a shared template.
In each case, define the outgoing artifact: a particular workbook revision, an intended recipient and an approved pricing task. Keep a record of the file that was actually issued. If a later edit changes a hidden lookup, an output or the recipient scope, review that revised release rather than assuming the earlier approval carries over.
For a practical handover, ask the recipient to identify the requested machine configuration and response fields. This checks whether the released material supports the procurement task. It does not authorise uploading internal files to a third-party inspection service or exposing private commercial information.

FAQ
Does hiding a worksheet exclude it from the supplier’s file?
No. Microsoft explains that recipients might unhide hidden worksheets to view their data. Review the actual workbook content and approved release scope.
Can removing a hidden sheet change a quotation total?
It can if the sheet contains data used by calculations or formulas. Have the workbook owner review dependencies and compare the resulting release outputs.
Should the Inspector run on the only master copy?
Microsoft recommends using a copy because removed data cannot always be restored. Preserve the original and approve a separately named release version.
Does Document Inspector automatically remove every finding?
No. Microsoft lists categories it can find but cannot remove automatically, including external links and embedded files or objects. Review findings with the appropriate owner.
Is a locked worksheet the same as an approved release file?
No. Editing restrictions do not decide which information the recipient is authorised to receive. Review both the file scope and the required response task.
Do the listed machines inspect Excel quote files?
No such capability has been verified. The three listings identify retail formats only; workbook release review is the purchasing team’s process.
RELEASE REVIEW / 13
Final Recommendation
Approve both the information scope and the resulting figures in a separate supplier release copy. Use Microsoft’s Excel inspection guidance as a documented aid, with its copy-first advice and calculation caveats. Keep the original model available to its authorised owner.
For the equipment decision, compare the WM22, single AI fridge and dual-cabinet formats against the actual packaged assortment and operating workflow. Ask the supplier to confirm the offered configuration. Document review makes the quotation request clearer; it does not prove any machine feature or decide the best cabinet without project evidence.
