Yet a device identity, an installed payment application, an enabled encryption function and a validated solution are different pieces of evidence. The purchasing question is precise: what does the proposed terminal do in this installation, and what evidence supports that statement? Ask the acquirer or payment brands about their device requirements and confirm the appropriate compliance review for the merchant environment. No reader model, application version or P2PE solution has been verified for the three machines in this article.

Who Should Buy This

This article is for importers specifying a card terminal, operators expanding a fleet with different readers and distributors whose quotation uses terms such as “approved,” “encrypted” or “P2PE.” It is particularly useful when the same cabinet can be supplied with several payment arrangements.

It also helps a buyer reviewing an existing installation after an application update, reader replacement or change of acquirer. A photographed model name may remain unchanged while the payment application or management arrangement changes. The buyer needs a configuration record, not just a reader inventory total.

Assign the evidence review to people who understand payment devices and the merchant environment. Procurement can collect identifiers, preserve documents and require clear answers. It should not declare encryption verified by watching a successful sale. PCI SSC expects technically complex terminal assessments to be performed by people with the necessary knowledge or supported by people who have it.

We review public manufacturer listings for the retail mechanics that affect the acceptance demonstration: door access, selection, delivery and remote operations. We then identify the payment-terminal evidence needed for the final quote. We have not captured terminal traffic, tested cryptography, examined installed payment software or conducted a PCI assessment.

Our procurement sequence

  1. Record the proposed unit. Ask for cabinet model, terminal identity, installed payment application and the destination/acquirer arrangement.
  2. Separate each claim. Label device approval, encryption capability, actual configuration and complete solution claims individually.
  3. Collect matching evidence. Request the relevant official listing information and configuration evidence, with an explanation of how it applies to the proposed installation.
  4. Identify the management path. Ask whether a terminal management system is used, who operates it and which party applies software and configuration updates.

This sequence is our buying recommendation. The underlying assessment questions come from PCI SSC, but the five-step purchasing order is not presented as a PCI-mandated workflow. Match the reader to the actual proposal

Request an unambiguous terminal identification in the quotation and again at handover. Ask the payment party to connect it to the relevant approval record. If it proposes a substitute, obtain a written revision rather than assuming equivalent appearance means equivalent evidence. This is a configuration-control recommendation, not a claim that we have checked a particular device listing.

Identify the installed payment application

FAQ 1301 says resident applications can vary with merchant, terminal model, acquirer and region. That is why a global reader specification is insufficient to describe the intended deployment. Record the proposed application information and who can change it. Ask the payment specialist what evidence is needed to verify the behavior of that application on the quoted unit.

Ask whether SRED is actually used

The source explains that PTS devices with SRED have been assessed to provide the option to encrypt account data, and that use of SRED is optional for many devices. A checkbox saying “SRED capable” leaves the configuration question unanswered. Ask for an explicit response about the deployed arrangement and the evidence supporting it. Do not ask a general equipment salesperson to certify technical behavior outside its supplied scope.

Use the whole solution identity for P2PE claims

PCI SSC describes P2PE protection from account-data capture at the merchant payment device to decryption in the provider environment. Its overview encourages the use of Council listings when selecting solutions, components and applications. If the quote claims PCI-listed P2PE, ask which complete solution is proposed and how the cabinet’s payment arrangement fits it. A component or reader name is not the whole answer.

Document the terminal management system

The FAQ describes a TMS as a possible route for terminal software and configuration updates. It says the entity or assessor should determine whether one is used, who is responsible and whether it is a connected-to system needing inclusion in assessment scope. Request the management diagram and ownership details for qualified review; procurement should not determine scope merely from the fact that management is remote.

Confirm support and change handling

The source includes review of vendor support and applied security updates among assessment activities. Ask who supplies updates, who authorizes installation and how the installed configuration record stays current. Require the relevant parties to explain the process for replacing a terminal or changing its application. A supplier’s general warranty promise does not describe application support.

Keep physical and logical questions distinct

The FAQ includes protection against tampering and substitution for relevant card-present devices. Ask for vendor instructions and an operating ownership plan. Inspecting the physical reader and reviewing data protection address different questions. Neither a clean exterior nor a successful tap replaces technical validation.

Cost & ROI Analysis

Do not buy a supposed compliance saving without the configuration evidence behind it. Separate cabinet price, reader, installation, payment integration, provider service and ongoing application support in the quote. Ask the compliance-program owner what work is actually affected by the proposed arrangement. A PTS label alone is not evidence of reduced merchant scope.

Assumed configuration-control cost

For arithmetic only, consider a fictional fleet of 10 machines. Assume it needs six hours to establish one accepted configuration record at an internal rate of US$40 per hour, plus 20 minutes per installed terminal to record its identity and handover evidence. The initial allowance is (6 × $40) + (10 × 20 ÷ 60 × $40) = $373.33.

If those 10 units actually use two distinct configurations and each needs the same assumed six-hour review, the allowance becomes (12 × $40) + $133.33 = $613.33. The additional $240 illustrates the planning effect of configuration variety. It is not a mandated review duration, a provider fee or an estimate of a real PCI assessment.

Suppose the same fictional operator models $1.10 contribution per sale after costs included in its own calculation. Translating the $240 difference into contribution units yields $240 ÷ $1.10 = 218.18, rounded up to 219 sales. This does not mean standardizing readers creates sales, makes an installation compliant or saves $240 in practice. It only shows how to compare an assumed administrative expense with the operator’s chosen contribution measure.

Do not assign invented returns to breach avoidance or claim that P2PE removes all compliance cost. The official overview says merchants using PCI-listed P2PE solutions have fewer applicable PCI DSS requirements; it does not publish a universal dollar saving. Obtain actual service quotations and qualified review of the proposed environment.

A buyer offered “the same reader” on several machines

Compare application, acquirer, region and management arrangement as well as model identity. The official FAQ explains why resident payment applications can differ. Select the retail format for the assortment, but preserve each payment configuration until the relevant parties confirm which evidence applies.

A proposal using “encrypted” without a named solution

Ask what the term describes: device capability, actual terminal behavior or a complete P2PE arrangement. Route the response and configuration evidence to qualified review. Neither an AI fridge nor a controlled-delivery cabinet resolves an undefined encryption claim by itself.

A proposal claiming PCI-listed P2PE

Request the exact complete solution identity and a written explanation tying the intended reader, application and deployment to it. Consult the official listing information and payment specialists. Do not assume that a related component listing or familiar device makes every integration part of the validated solution.

A fleet with readers managed remotely

Identify the TMS and its owner before handover. Ask how software changes are approved, how the operator learns what is installed and how the assessor obtains appropriate evidence. The useful choice is a support arrangement that can maintain an accurate configuration record for the actual fleet.

Applications

For a first import order, attach the terminal configuration record to the equipment acceptance package. Ask the factory and local payment party to reconcile what is mounted, what application is proposed and who manages it. This is a suggested procurement use, not a documented customer deployment.

For a distributor selling several cabinet formats, organize configurations by the actual payment arrangement. An open-door fridge and an elevator toy unit can have very different retail mechanics, while sharing some payment-service evidence only if the payment parties confirm it. Do not copy a security claim across the catalog solely because the cabinets share a reader brand.

For a service visit replacing a damaged reader, preserve the approved substitution and installed identity. Ask whether the application, management path or solution relationship changed. The replacement can restore retail service while still requiring updated configuration evidence.

For an acquisition of an existing vending fleet, request its POI inventory, installed applications and management information along with the machine count. A list of cabinet locations is useful operational data, but it does not describe all terminal types, acquirers and applications that may matter to assessment.

Does a PTS-approved reader prove that account data is encrypted?

Not by itself. FAQ 1301 explains that SRED provides an assessed option and is optional on many devices. Its use may be controlled by the resident payment application. The source cautions assessors against assuming encryption without the relevant validation.

Does PTS approval automatically reduce merchant PCI DSS scope?
