- Distinguish estimate from commitment. Record whether the shipping date is estimated and what prerequisites affect it. Artwork approval, configuration confirmation and production scheduling can require separate discussion; do not invent a fixed lead time.
- Control revisions and validity. Ask what changed, which version replaces the prior one and whether the offer remains valid. Preserve earlier copies for traceability but clearly identify the approved version.
A practical review can mark each field as confirmed, awaiting clarification or outside the quoted scope. Avoid an undifferentiated “approved” stamp while material questions remain. The responsible approver should be able to see the unresolved items without rereading the whole message thread.

If the example terms hypothetically split the $8,550 total into 40% and 60%, the amounts are $3,420 and $5,130. This is arithmetic, not a payment instruction or a recommended deposit. The actual approved milestones and terms control the purchase.
These checks do not calculate operating ROI. Freight, taxes, installation, service, stock and site performance need their own evidence before profitability can be assessed. A tidy pro forma total is a purchasing input, not proof of payback or a complete landed-cost budget.
