Start with a practical list: sales reports, inventory views, alerts, remote prices, product recognition and payment processing. Ask which functions are included with the machine and which depend on a paid service. A broad phrase such as “cloud management included” leaves too much room for misunderstanding.
Identify the provider behind each service. Hardware, connectivity, payment and recognition may be supplied by different organisations. One invoice does not necessarily mean one contract or one support route, so request a clear breakdown of responsibility and recurring charges.

A fee may apply per machine, account, site, transaction or another unit. Confirm the billing period, currency, taxes and any usage limits. Ask whether adding a second cabinet, more users or another location changes the subscription.
For any introductory period, record the end date and normal renewal basis. Do not calculate ownership cost using only a temporary offer. Ask how price changes are communicated and which costs are fixed, usage-based or charged by another provider.

Check how service is restored and whether queued transactions or historical records remain available. Do not infer offline operation from the presence of a touchscreen or card reader. Test any required continuity feature under an agreed procedure before relying on it at an unattended site.
