Keep the use case specific enough to test. “Easy to use” is a useful aim, but a demonstration of selection, payment and retrieval with your products provides clearer evidence. State the actions that must work and the situations that need support.

Separate constraints from preferences

Site dimensions, supply conditions, required product handling and access rules may be genuine constraints. A preferred colour, screen size or decorative finish may be negotiable. Mark the difference so a proposal does not satisfy the appearance while missing an essential operating requirement.

Provide confirmed information where available and flag assumptions. If the final site is not selected, say which conditions remain unknown. A supplier should not have to guess whether a dimension is a fixed limit or an early estimate.

Price optional elements separately where practical. This helps the buyer understand their effect on budget, lead time and service complexity. A feature may be attractive without being necessary for the first installation.

Control changes after approval

Keep a dated approved brief and record later changes with their effect on price, schedule and acceptance. A new package size or payment method can alter more than one part of the configuration. Ask the supplier to reassess the affected requirements rather than treating every change as cosmetic.

Before production or final handover, compare the agreed configuration with the brief. Close unresolved items explicitly and retain the evidence. A clear specification protects both parties from remembering the same discussion differently.
