Start with the operator and machine identity

Customers should be able to tell who operates the machine and which unit they are using. Put a short machine identifier near the support information and use the same identifier in your internal records. A site with several similar cabinets should not require a customer to describe “the machine near the door.”

Keep the label readable from the normal standing or seated position. Use sufficient contrast and a simple layout. Avoid placing the reference on a moving door edge or an area hidden when the customer is trying to collect a product.

Choose a contact route the team can maintain

A phone number, web form or messaging channel is useful only if someone monitors it under a defined process. Select a primary route and state the relevant support hours. If immediate assistance is unavailable, explain how a customer can leave a report.

A QR code can make a web form easier to reach, but include a readable alternative. Customers may not have a working camera or mobile connection. Check the destination periodically and keep it under the operator’s control so a changed or expired link does not silently break the support route.

Ask for useful details without over-collecting

A report typically needs the machine reference, approximate purchase time, product and a description of the problem. The payment provider or support workflow may also use a transaction reference. Ask only for information necessary to investigate and provide a clear explanation in the form.

Do not tell customers to send their full card number, security code or unrelated bank history. If a screenshot is useful, explain which relevant information is needed and how to avoid including unrelated details. Use the approved support process to locate the payment securely.

Keep refund wording accurate

A label should not promise an instant refund if the operator cannot deliver one. Explain the reporting process and any realistic response commitment without confusing review time with the time a bank takes to show an adjustment.

Review the label whenever support contacts or operating arrangements change. During a refill visit, check that it is intact, readable and points to the correct destination. A support sticker is part of the service, so it deserves the same routine attention as product labels and payment instructions.
