Clarify whether the customer can cancel before selecting a product, how the return control works and what happens after a completed sale. Some configurations may allow another purchase using remaining credit; others may return change. Have the supplier explain the specific setup instead of relying on a familiar machine elsewhere.

Prepare a test sheet with the installed payment components, software configuration and product prices. Use cash that the system is intended to accept and follow the approved test procedure. Keep test transactions separate from normal trading records so the subsequent cash reconciliation remains understandable.

Test a cancellation before any product is selected

Start with an idle machine and insert a permitted amount. Confirm that the displayed credit matches what was accepted. Then use the normal customer cancellation or coin-return control and observe the result. Record the returned amount and the final screen state rather than simply writing that the button worked.

The returned coins may not be the same individual coins inserted, depending on the mechanism. What matters is that behaviour matches the documented configuration and applicable requirements. Ask the supplier about any conditions under which accepted money cannot be returned immediately, and make sure customers receive accurate information before paying.

Check the collection area for the returned cash. A correctly returned amount is still frustrating if the customer cannot find the tray or distinguish it from the product opening. Review the label, visibility and access from the position where the customer normally pays. Include this physical step in the acceptance test.

Follow remaining credit after a successful purchase

Use an agreed test purchase where the inserted amount exceeds the product price. Verify the product delivered, the amount charged and how the balance is handled. If the machine returns change automatically, count it. If it offers another purchase, check how the customer ends the session and retrieves any eligible remaining balance.

Watch for ambiguous screen messages. A displayed number could be interpreted as the item price, accepted credit or money still owed. The interface should make the current state clear enough that a first-time customer does not add more cash unnecessarily or walk away without understanding that a balance remains.

Repeat with representative prices and denominations rather than only one convenient combination. The supplier should help choose cases that exercise the configured payment system meaningfully. Do not publish a claim that the machine always has change because one test succeeded with freshly filled coin tubes.

Check the limited-change condition deliberately

Ask how the machine detects and communicates insufficient change. The expected response depends on its configuration: it may restrict accepted money, display a suitable notice or use another documented approach. Test the agreed condition with the supplier instead of waiting for a customer complaint to reveal it.

Make sure any exact-change instruction is visible before money is inserted and accurately reflects what the machine will accept. A paper notice added by staff should not contradict the screen. If the operating procedure requires taking the unit out of service when cash handling cannot work correctly, follow that procedure.

Include the service routine that keeps the mechanism supplied and maintained. Record coin float changes separately from sales takings so the operator can understand why physical cash changed. Mechanical or validation faults should go to authorised service personnel; do not reach into a mechanism or improvise adjustments while it is operating.

A customer report should identify the machine, approximate purchase time, product selected, amount inserted and amount returned. Ask for the information needed to investigate without suggesting that the customer should repeat a failed transaction. Keep the report linked to the relevant cash and sales records.

Compare the complaint with the machine records available, recent servicing and the physical reconciliation. State what the evidence supports and what it does not. A cash total alone may not establish exactly what happened in one transaction, particularly if service movements or test sales were not recorded.

When a fault is found, document the correction and repeat the affected acceptance test before returning the cash function to normal service. Apply customer remedies under the relevant policy and local requirements. Keep the support contact easy to find so a small unresolved balance does not become an avoidable loss of trust.
