FIELD NOTE 01

Introduction

The finance reviewer opens a vending equipment budget and sees the same total that appeared in yesterday’s meeting. The supplier has since revised an option in a separate quotation workbook. Has the shared file deliberately preserved yesterday’s decision basis, failed to obtain the revision, or remained linked to a different source entirely? The number alone cannot answer that question.

A useful approval record and a useful forecasting model do different jobs. The approval record explains what the team considered at a particular point. The working model remains able to incorporate later inputs. Problems arise when one file silently changes roles: a live model is circulated as an apparently fixed record, or a fixed copy is reused as though its external dependencies still work.

This guide addresses that choice for buyers of smart vending equipment. It uses Microsoft’s Windows guidance on workbook links, then applies the documented software behaviour to an equipment procurement handover. It does not inspect your files, certify their figures or establish that any WEIMI cloud system imports these workbooks. The three equipment listings below are a public-source purchasing shortlist, not independently tested winners.

FIELD NOTE 02

Quick Answer

Keep the maintained model and the approval snapshot as separately identified files. Before issuing a snapshot, establish which source revisions and values support the decision. If you choose to break workbook links in a separate copy, Microsoft says formulas that use the source are converted to their current values and the action cannot be undone. Preserve a backup before doing it.

A values snapshot preserves what is present; it does not prove that the source was current, the quote was accepted or the calculation was correct. Label the date, source revisions, scope and unresolved assumptions. Retain the working model for later scenario updates.

Microsoft’s Workbook Links pane provides controls to refresh links, inspect source workbooks, change sources and break links. The documented Windows route is Data > Queries and Connections > Workbook Links. Interface availability depends on the Excel version; use the instructions for the environment actually in service.

FIELD NOTE 03

Comparison Table

Copy type Useful purpose What must remain clear
Maintained model with external links Revisit a purchase scenario as approved source inputs change. Identify each source owner and revision, access arrangements and the refresh policy. Opening without a prompt does not establish freshness.
Dated approval snapshot Record the figures and assumptions presented for a particular decision. State that values are fixed, name the source versions and preserve the model separately. A snapshot is not an updated forecast.
File with a broken or unavailable source A review exception requiring the owner’s explanation. Do not treat an existing displayed value as evidence that the latest source was reached. Record what cannot be confirmed.
Copy repointed to a replacement source Continue a model after an intentional source change. Confirm the replacement workbook and the meaning of the referenced cells; a working path alone does not prove equivalence.

These categories describe a buyer’s document roles, rather than Excel file formats or a statutory retention policy. Choose the role first. The workbook action should implement that decision and leave evidence of it.

FIELD NOTE 04

Who Should Buy This

This review is useful for an operator sending a capital request, a distributor comparing configuration revisions, or a finance team receiving a budget assembled from supplier and internal workbooks. It is especially relevant when hardware, payment services, freight and launch work are owned by different people and the total draws from several files.

A single cabinet proposal can have external dependencies even when the workbook itself is small. A fleet budget can have none if the inputs are deliberately maintained within it. Do not use machine quantity as a proxy for link complexity. Ask the document owner how the important figures arrive in the decision sheet.

Buyers working from a simple signed quote and a separate internal calculation may not need external workbook links at all. They still need explicit revisions and assumptions. This article does not recommend building a linked model merely to make a small purchase appear sophisticated.

FIELD NOTE 05

How We Evaluate Smart Vending Machines

Evaluate the evidence in two tracks

For the document track, identify the maintained model, its external source workbooks and the intended approval copy. Review which values come from which sources, what refresh behaviour is configured, and which version will be issued. Microsoft warns that choosing not to refresh and not to prompt can leave users unaware that data is out of date. That is why the handover should state its update policy rather than rely on a warning appearing.

For the equipment track, compare the supplied cabinet configuration, actual product compatibility, local payment support, installation requirements and written support scope. A well-governed workbook cannot establish these physical and commercial facts. Each needs a supplier answer, appropriate documentation or an agreed demonstration.

Our shortlist method

We read publicly available WEIMI product descriptions for three different retail arrangements: an AI vision fridge, a WM22 touchscreen machine and a dual-cabinet station. We use those descriptions to identify configuration questions that belong in a budget source register. No machines were purchased, opened or tested for this guide. We provide no numerical performance ranking or independently measured energy result.

The software facts come from Microsoft’s Manage workbook links page. Procurement file roles, review steps and the fictional time-cost example are editorial applications of those facts, not Microsoft or WEIMI requirements.

FIELD NOTE 06

Key Buying Factors

1. Decide what the recipient is supposed to receive

Ask whether the recipient needs an editable scenario, a fixed decision record, or both. Include that answer in the issue note. A filename containing “final” does not tell a reviewer whether figures will change on a future refresh. A copy sent to another office may also lack access to source files that were reachable by its author.

2. Establish the source before preserving the value

For each material external input, record the source workbook, quote or internal document revision, responsible owner, applicable configuration and review date. A refreshed value from the wrong source is still the wrong basis. A deliberate decision to use a previous revision should be explicit, with the reason and any effect on the proposed equipment scope.

3. Keep a recoverable model

Microsoft’s break-link instruction converts formulas using the source workbook to their current values and warns that this action cannot be undone. Do not use it as a casual cleanup step in the only working file. Preserve a backup and work on a separately identified issue copy after the owner has agreed its purpose. This guide is not performing that action on any user workbook.

4. Review more than visible input cells

Microsoft says there is no automatic way to find all workbook links. Its guidance identifies formulas, defined names, objects such as text boxes or shapes, chart titles and chart data series as places to investigate. A clean-looking summary sheet is therefore not proof that the file has no remaining external dependencies. Record the review scope, including any areas that were not checked.

5. Separate “fixed” from “approved”

Breaking links makes relevant formulas into current values; it does not sign the quote, authorise expenditure or validate a supplier promise. The approval record still needs the decision, the people responsible and the unresolved questions. Never remove an unknown service fee from the list simply because a neat snapshot would be easier to present.

FIELD NOTE 07

Best Smart Vending Machines

WEIMI Single-Door AI Vision Smart Fridge for Packaged Drinks

The AI vision fridge listing describes packaged drinks and compatible snacks, five shelf levels with five baskets, a 21.5-inch top screen or light-box configuration and optional 3–20°C cooling. It is a retail fridge, not a machine that squeezes fruit. Those distinctions matter before its hardware line becomes a fixed approval value.

For the maintained model, attach the exact quoted display, cooling, payment and software choices to the source revision. For an approval snapshot, show the selected configuration beside the amount and label any outstanding recognition trial or local payment question. A later quote for another option must not be silently substituted into the record of the earlier decision.

WEIMI WM22 Touchscreen Snack and Drink Vending Machine

The WM22 product page identifies a 21.5-inch touchscreen, cooling and inventory functions, with optional adjustable dispensing arrangements including spiral, conveyor, direct push and hanging slots. Confirm the actual arrangement and product samples for the quote. A generic model name is insufficient if successive source workbooks describe different options.

Use separate source references for hardware, payment-provider costs and the intended dispensing trial where those come from different parties. A frozen total should preserve the chosen assumptions, rather than imply that every possible mechanism or service is included. Obtain written configuration and service terms instead of treating general catalogue statements as order-specific commitments.

WEIMI Two Cabinets, More Choice | Snack & Drink Vending Station

The dual-cabinet station listing presents a main product cabinet and a smaller visible spiral-lane vending compartment. It calls for confirmation of product mapping, dispensing routes, capacity, cooling and payment integration. The images do not establish the main internal delivery mechanism or separate temperature zones.

A budget model should identify whether an external source covers the complete two-section configuration or only a component. The issue copy should state that boundary. Otherwise, an apparently comprehensive snapshot may preserve a component price while the decision narrative describes a complete station. Ask the supplier to reconcile the itemised scope before comparing totals.

Shortlist boundary: All three are candidates for further project review. None earns a “best” position because its supporting workbook is easier to circulate. Select on confirmed product, site, payment and service fit.

FIELD NOTE 08

Feature Comparison

Public-listing feature Budget dependency to document Evidence needed before issuing the approval copy
AI fridge: open-door packaged-product selection and camera-based recognition Quoted configuration and any product-onboarding or service allowance. Approved package list and recognition demonstration scope; obtain the applicable charges in writing.
WM22: touchscreen retail with listed dispensing options Source revision for the selected mechanism, display and cooling configuration. Configuration-specific datasheet, sample trial and itemised quote; do not total unchosen options as included features.
Dual cabinet: main display plus secondary spiral section Whether each external input covers both cabinet sections. Supplier reconciliation of lanes, delivery routes, software mapping and payment scope.
All three: project-specific market and operating questions Payment, connectivity, freight, installation and support figures from their actual owners. Provider terms and supplier answers for the intended country; separate confirmed amounts from estimates.

These rows connect a public feature to a procurement question. They do not establish an Excel integration, an export format or a linked quotation service for any listed model.

FIELD NOTE 09

Cost & ROI Analysis

Make the financial basis visible

Use the maintained model to explore equipment cost, recurring service, payment charges, stock, restocking labour, site arrangements and other project-specific expenses. Use a dated approval copy to preserve the scenario actually reviewed. Put the assumed sales period and product mix in that record as well: a fixed equipment amount cannot make an unsupported revenue forecast reliable.

If the buyer intentionally issues a values snapshot, attach or reference the evidence for the important inputs. Distinguish a supplier quotation from an internal estimate. If a source is unavailable or a revision is uncertain, keep that limitation visible and decide with the owner whether the copy is ready for the intended decision.

Fictional administration example, not equipment ROI: Assume one proposed purchase needs 40 minutes to reconcile external source revisions, 25 minutes to prepare and label an issue copy, and 25 minutes for a second-person comparison. Total assumed time is 90 minutes, or 1.5 hours. At a hypothetical loaded labour rate of US$44 per hour, the review allowance is 1.5 × US$44 = US$66.

Every duration and rate in this example is an assumption. It is not a WEIMI price, a customer result or a measured saving. The exercise simply makes document preparation visible in the purchasing workload; it does not claim that breaking links produces a financial return.

Equipment payback needs a defensible investment scope and a supported operating cash estimate. Neither external-link status nor a values-only copy supplies those. Do not insert a generic payback period to fill a gap in the model. Obtain missing information or clearly mark the decision as dependent on it.

FIELD NOTE 10

Best Choice by Scenario

Active comparison of supplier revisions

Keep a maintained model with documented source ownership. Before using a newer quote, confirm that the configuration and commercial boundaries are comparable. If the source path changes, Microsoft’s Change source function can repoint references, but the workbook owner must still check the meaning of the referenced data.

A decision pack for an approval meeting

Issue a dated record of the selected scenario and state whether it contains live links or fixed values. If a separate values snapshot is the chosen format, preserve the model and backup first. Identify the source revisions and open assumptions so the reader can understand the basis without access to the author’s local folders.

The source is temporarily unreachable

Microsoft explains that Excel cannot update from a source that is not connected. Contact the owner and state the limitation. Do not present the last displayed total as a fresh supplier figure. A known historical scenario may still be useful for discussion if its age and scope are explicit, but that is a conscious business decision.

A previous approval copy is reused for another site

Return to the maintained model and current evidence. A snapshot’s purpose was to preserve a prior basis, not to follow the next location’s power, payment, installation or product choices. The most appropriate equipment candidate can change when those requirements change.

FIELD NOTE 11

Applications

For a first vending installation, use a modest source register that connects the quote revision to the chosen cabinet and any internal launch estimates. That makes it easier for the finance reviewer to see which numbers are confirmed and which are planning allowances. The register need not create links where none are necessary.

For a distributor proposal, separate the supplier’s equipment scope from the distributor’s own services and assumptions. A copy circulated to a customer should make its role clear and avoid exposing unrelated internal workbook material. This is a document-scope recommendation, not a claim that removing workbook links removes every kind of hidden or private content.

For a fleet expansion, identify the source revisions used for each configuration and issue period. A retained snapshot can support later explanation of a decision, while the maintained model continues to assess revised locations and quantities. Give those two records different owners or responsibilities where appropriate, so an update to one does not overwrite the purpose of the other.

FIELD NOTE 12

FAQ

Does breaking links make the numbers correct?

No. Microsoft describes converting formulas that use the source workbook into their current values. That preserves the values present; it does not establish the source revision, calculation correctness or commercial approval.

Can I undo the Break links action?

Microsoft warns that breaking a workbook link cannot be undone and recommends considering a backup version. Preserve the working model before making an intentionally fixed issue copy. Do not depend on an undo command to recover this action.

Why might a budget open without asking to refresh?

The documented refresh settings include Ask to refresh, Always refresh and Don’t refresh. Microsoft warns that not refreshing and not prompting can leave users unaware that data is out of date. The workbook owner should identify the actual setting and issue policy.

Is a formula search enough to confirm that there are no external links?

No. Microsoft says there is no automatic way to find all workbook links and also discusses defined names, objects, chart titles and chart series. State the scope of the review rather than claiming a complete check from a single formula search.

Should every approval copy have its links broken?

No. Choose the recipient’s purpose first. A maintained scenario may need links; a dated decision record may use a separately prepared values snapshot. Both require documented sources, and any breaking of links should be deliberate and backed up.

Will these WEIMI machines accept my linked Excel budget?

This guide establishes no workbook-import capability for any of the three machines. The workbook is the buyer’s purchasing record. Ask WEIMI for the actual supported interfaces if a software integration is part of the project.

FIELD NOTE 13

Final Recommendation

Start by assigning a role to each file. Keep the model that can respond to future source changes. Preserve a separately identified record of the scenario presented for approval. Before freezing anything, reconcile the external sources and their configuration scope; after preparing the issue copy, compare it with the agreed basis and label its limitations.

For the equipment decision, take forward the AI fridge when compatible packaged-product selection is the intended retail model, the WM22 when its confirmed dispensing configuration fits the assortment, or the dual-cabinet station when both selling sections have a documented role. Treat each as a shortlist option until the product trial, site, payment and commercial questions are answered.

A fixed budget should make a decision explainable. It should not disguise a missing source, an unconfirmed feature or a previous quote revision.

FIELD NOTE 14

CTA

Build the quote around the configuration you will approve

Send WEIMI your country, installation location, quantity, package dimensions, storage needs and preferred payment methods. Identify the configuration and quote revision used in your budget, and list the items that still need supplier confirmation.

Request an itemised equipment quotation, the applicable software and service scope, and project-specific delivery and support terms. Those answers can become documented inputs to your maintained model and dated decision record.
