Estimate demand using the event schedule and product fit, then keep a practical refill reserve. Agree where stock can be stored and when staff can service the machine without obstructing guests. Avoid relying on a refill route that cannot reach the venue during trading hours.
Assign a person to monitor issues and contact the appropriate support provider. If the event is outside normal support hours, resolve that gap in advance. Keep the customer-facing contact route accurate after the event as well, since a payment or product complaint may arrive later.

Agree the final sales time and the process for checking pending transactions, remaining stock and cash where applicable. Follow the approved procedure to prepare equipment for transport. Do not disconnect or move a machine while an active transaction or required shutdown step remains unresolved.
