Define the exact rental bundle

List the board and every accessory included in the offer using the operator’s approved equipment plan. State whether each item is stored together or issued separately. A locker count is not automatically a count of complete ready-to-rent bundles.

Identify each bundle or component in the inventory process. The operator needs to know what was issued and what must return. A closed locker door alone cannot establish that all items are present or in an acceptable condition.

Keep equipment selection and use requirements within the rental operator’s competent safety process and the manufacturers’ instructions. This article does not advise on water conditions, personal suitability or the equipment required for a particular activity.

Choose the storage format before measuring compartments

A packed inflatable board, an inflated board and a rigid board create very different storage and handling requirements. State the actual format in the enquiry. Do not use the word paddleboard as if it identified one package size.

Measure the complete stored bundle, including bags and accessories. If customers must prepare or assemble equipment after collection, identify that as part of the service journey and ensure the operator has an appropriate instruction and assistance process.

For large equipment, assess how customers remove and return it without obstructing the site. The compartment opening and surrounding space matter as much as the internal dimensions. Have the layout reviewed by the responsible site and operational teams.

Separate booking eligibility from locker access

Define how an approved booking becomes a supported access instruction. The rental platform, payment service and locker controller may be separate systems. Ask for the actual integration scope instead of assuming a QR code connects every part.

The operator should decide what requirements must be satisfied before access is issued, including any legally or operationally required processes. A locker opening is not evidence that the customer has received all necessary instruction or that conditions are suitable for activity.

Plan the response when a valid customer cannot open the assigned compartment. Provide a real assistance route during operating hours. Avoid sharing a general access code or bypassing controls as an improvised solution.

Define return completion in more than one stage

A useful operating model distinguishes returned, awaiting review and ready for the next rental. The exact states should match the supported software and the operator’s procedure. Do not assume that a sensor detecting an item can assess completeness, cleanliness or damage.

Assign trained staff to the required checks under the equipment manufacturers’ and operator’s procedures. Record missing or damaged components and keep affected equipment unavailable until the appropriate decision is made.

Where drying, cleaning or other preparation is required, provide the facilities and time for that work. A locker should not be assumed to perform those tasks simply because wet equipment can physically be placed inside it.

Plan site closure and unavailable conditions

The operator needs a process for suspending new rentals when the activity or location should not be offered. Define how sales, bookings and access are stopped through the supported systems and how existing customers receive appropriate information.

Do not advertise unconditional availability based on the locker’s ability to remain powered. The actual service depends on the operator’s safety policy, site permissions, assistance and equipment readiness.

Ask how staff manage a return after the normal service window or during a temporary closure. The answer should preserve a practical return route without implying that new use is authorised.

Evaluate the full turnaround during a pilot

Test a complete approved rental journey: booking, collection, return, staff review and release for another customer. Use the real equipment bundle and representative site conditions within the operator’s controlled evaluation plan.

Measure staff time, missing-item incidents, access problems and the time equipment spends unavailable between rentals. A fast locker opening does not establish a fast or safe complete turnaround.

Use the findings to determine compartment count and staffing. The required capacity depends on how many complete, approved bundles can be maintained, not only on how many doors can be fitted into a cabinet.
