Define what counts as a completed issue

Agree whether the report records a request, an authorised selection or a confirmed product delivery. These events can differ when a product is unavailable or a dispensing attempt fails. Calling every request consumption can overstate the amount of equipment employees actually received.

For each completed issue, consider the product identifier, quantity, machine, timestamp and authorised employee reference. Ask the supplier which fields are available and how the final outcome is established. Keep the requirement specific enough to demonstrate rather than accepting a general statement that the system tracks everything.

Use a sample transaction to explain the desired result. If an employee requests one pair of gloves but the machine does not deliver it, the report should preserve the relevant event without treating it as a successful issue. The exact supported handling must be confirmed for the proposed hardware and platform.

Choose identification that fits the organisation

Review the employee access methods already used at the site and ask what integration is supported. A badge number, PIN or other identity method may have different compatibility and administration requirements. The fact that a reader accepts a card does not prove it can use your existing employee directory correctly.

Define how starters, leavers, temporary staff and replacement badges are handled. Access changes need a responsible owner and an effective process. Avoid sharing one generic credential across a department if the business expects reliable individual issue records.

Use personal data proportionately and involve the responsible privacy and employment teams. Biometric identification is not automatically necessary for a useful issue report. Assess the appropriate access method, notice, permissions and retention requirements before collecting more information than the project needs.

Map departments and cost centres deliberately

Decide whether each issue is attributed to the employee current department or to the department recorded at the time of issue. A person moving between teams can otherwise cause historical reports to change unexpectedly. Confirm the platform behaviour and the reporting convention finance expects.

Define the cost basis separately from the physical quantity. A report of ten issued items does not establish their accounting value unless the relevant product cost and allocation rules are defined. Ask whether costs are supplied by the vending platform, imported from another system or applied later in finance reporting.

Create a small example with two departments and several products. Compare the employee view, department total and product total using the same transaction set. If cost centres are required, include them explicitly in the demonstration instead of assuming they are available because department reporting exists.

Include exceptions without obstructing access to required PPE

Agree how failed issues, authorised overrides, returns and service tests appear in the records. Keep test transactions distinguishable from normal employee use. A replenishment adjustment should not silently appear as employee consumption merely because both change a stock number.

If quantity limits or approval rules are proposed, have the responsible safety and operations teams determine how they interact with access to required protective equipment. The objective is appropriate provision and accountable stock, not an arbitrary restriction based on a generic vending rule.

Clarify the procedure when the machine is unavailable or an employee cannot authenticate. Record any manual issue through the approved alternative process so later consumption reports can be interpreted accurately. The machine report alone may not capture every item the organisation provides during a service interruption.

Reconcile reports and approve an export format

Compare a controlled demonstration with the physical stock movement. Starting stock, replenishment, confirmed issues, returns and authorised adjustments should explain the closing position within the agreed process. Investigate unexplained differences instead of assuming that a polished dashboard guarantees accurate inventory.

Ask for a sample export with the actual field names and formats. Check timestamps, product identifiers, employee references and quantities in the systems your team will use. A screen report can be readable while its export lacks a field needed for department reconciliation or finance import.

Record who may view individual records, who may change product mappings and who owns report corrections. Agree the reporting period, retention and support responsibilities before rollout. Preserve the accepted test examples as a baseline when software versions, access methods or organisational structures change.
