Withdrawing a PPE Product from Vending: Find the Physical Stock and the Record

A traceability exercise for an item that must stop being issued.

If a product is withdrawn from workplace issue, changing its display description is not enough. The operator needs to identify physical stock, prevent further normal issue and reconcile the records through the site's approved procedure. The reason and required actions should come from the responsible safety team, product supplier or other appropriate authority.

Define the affected item precisely

Use the identifiers relevant to the withdrawal, which may include a product code, package variant or batch where available. Do not assume a machine's inventory record contains batch-level information. Confirm what is recorded and identify gaps openly.

Locate stock in the machine and the replenishment supply. Follow the authorized handling and isolation process, avoiding unnecessary equipment access or improvised changes to controls.

Coordinate the change

Assign responsibility for removing affected products, changing the approved assortment and communicating the replacement route. An alternative item requires the appropriate safety approval and equipment compatibility review; physical fit alone is insufficient.

Record quantities found and the actions taken using the buyer's established process. Separate an inventory adjustment from the physical confirmation that the affected stock has been removed.

Close the action

Check that loading instructions and purchasing records no longer reintroduce the withdrawn item. Retain the completed record for the site's requirements. Ask WEIMI what item identification and stock-management functions are supplied, and design the operating process around confirmed capabilities.
