A workplace micro market earns its place when the product mix solves real shift-time needs, the access and payment journey is dependable, and the replenishment route costs less than the convenience it creates.

Start with shift calendars, headcount by hour, break-room location, badge access, nearby alternatives and the products employees already carry in. A 24-hour distribution centre has a different demand curve from a daytime office. Note weekend occupancy, seasonal overtime, contractor access and the distance to the nearest staffed store.

Walk through the complete journey on a phone and at the kiosk: discover the offer, authenticate if required, select an item, pay, receive the product and obtain a receipt. Score each step from one to five for speed, clarity and recovery. A technically impressive system can still fail if employees do not understand how to resolve a declined payment or an unavailable item.

Use a three-layer planogram: dependable everyday items, higher-margin choice items and a small rotating test layer. Keep the first load narrow enough to replenish accurately. Label allergens and dietary attributes clearly, then use sales and stockout data to decide what earns more space.

  • Anchor products: repeat purchases that stabilize the base.
  • Mission products: items needed during a shift or late-night period.
  • Discovery products: limited tests with a defined keep-or-remove rule.
  • Seasonal products: temporary offers tied to weather, events or workforce changes.

Define a route, not just a restock frequency. Record the time to travel, unlock, count, clean, rotate, refill and reconcile. Create a minimum presentation level for each priority SKU and a maximum dwell time for chilled or prepared products. If a product repeatedly requires emergency visits, either change the par level or remove it.

Morning exception review → route preparation → refill and rotation → photo evidence → inventory reconciliation → weekly assortment decision.

Before adding a second site, test role permissions, camera or access logs, payment settlement, refund handling, low-stock alerts, temperature exceptions, content updates and data export. Document who owns each alert and how quickly the issue must be acknowledged.

  1. Day 1–3: confirm installation, access, payments, alerts and content updates.
  2. Day 4–10: observe demand by shift and remove obvious assortment friction.

  4. Day 21–30: compare utilization, stockouts, refunds, service time and contribution.

Expand only when the evidence is stable across two consecutive review periods. A busy launch week is not proof of repeatable demand.

Should every workplace use the same mix?
No. Shift pattern, dietary needs, access hours and nearby competition should shape the first planogram.

How much data is enough for a decision?
Use at least two normal operating cycles and separate stockout effects from true demand.

What is the fastest warning sign?
Repeated refunds, unexplained inventory variance or emergency visits usually indicate a broken operating loop.
