Identify the complete consumable set

A beverage project may specify a cup by nominal capacity and leave the lid choice until launch. That can create avoidable problems. Cups with the same stated capacity can differ in rim, taper, height and other dimensions that matter to equipment and closure fit.

Record the exact cup and lid supplier references. Include any sleeve, carrier or other accessory promised with the drink. The approved set should describe what the customer receives, not a generic product category such as paper cup.

Test cup feeding with the actual stock

If the equipment dispenses empty cups, assess the proposed cup in the actual feeding arrangement. A hand-placed sample does not demonstrate that a stack will separate and feed through the intended mechanism. Use the manufacturer’s approved test procedure.

Record the cup version, loading method and conditions observed. Check what the system does when no cup is available or an agreed feeding exception occurs. Do not assume automatic detection or recovery is included without evidence.

Ask which dimensions or material changes require a repeat trial. A supplier’s revised packaging may carry the same commercial name while behaving differently in a dispenser. Keep procurement staff informed of the approved reference and substitution rules.

Review the filled cup for the intended drink

A cup must suit the actual product and serving conditions, not only the machine opening. Use the cup supplier’s relevant instructions and documentation, and have the responsible food business review the intended use. Do not infer suitability for hot or cold drinks from appearance alone.

Test the complete approved serving process with the actual drink specification. Evaluate handling, stability and the customer collection movement under supervised conditions. Avoid improvising tests or temperatures outside the equipment and consumable instructions.

Nominal capacity is not necessarily the intended fill quantity. Preserve the product’s approved portion and any required headspace. Do not fill to the brim simply to match a marketing capacity figure.

Check lid fit as part of the handover

A lid must fit the specific cup rim under the intended use. Test the actual pair, including how the customer applies or receives the lid. A lid that can be forced onto an empty sample may still create a poor customer experience.

Clarify whether the lid is placed automatically, dispensed separately or collected from a nearby holder. Each arrangement needs its own availability and hygiene process. Do not assume a machine with cup dispensing also handles lids.

If customers apply lids themselves, provide a suitable space and clear instructions. Review stability and access with first-time users. The operation should not require balancing a filled cup in an awkward position while searching for the correct lid.

Keep cups and lids visible in the stock plan

A drink can become unavailable because a serving consumable runs out even when ingredients remain. Include cups and lids in the refill calculation and explain which offers depend on each item. The software behaviour needs confirmation if it is expected to stop sales automatically.

As a hypothetical example, 80 cups and 50 required lids provide only 50 complete takeaway sets before replenishment, assuming one of each per sale and no losses. The example is arithmetic, not a machine capacity claim. Actual serving limits may be lower because other resources or service tasks intervene.

Track damaged or unusable consumables separately from saleable stock. A box count at the depot can overstate available servings if part of the shipment is unsuitable or a cup batch has not yet been approved.

Approve alternatives before the original stock runs out

Supply interruptions can pressure staff to buy a similar cup locally. Keep a list of approved alternatives where practical, with the evidence and conditions for each. Do not let an emergency purchase silently become the permanent consumable specification.

When reviewing a substitute, repeat the relevant feeding, filled-use and lid-fit checks. Update the product and service records if the change affects instructions or capacity. The operator should know which combination is currently loaded.
