WEIMI INSIGHTS / SMART RETAIL • BUILD SCOPE
A buyer’s scope check for existing coolers, recognition hardware, door control, payments and ongoing support.
EXISTING ASSET
Identify the cooler and the constraints it brings.
INTEGRATION
List every connection needed for a complete transaction.
SUPPORT
Decide who diagnoses faults across the combined system.
A retrofit may reuse an existing cabinet, but compatibility and integration are project-specific. Do not assume that adding cameras or a lock creates a supported unattended retail system.
01 / BUYER NOTES
Record the cooler’s model, dimensions, door arrangement, shelving and available manufacturer documentation. Include its condition and service history. The integration team needs to understand the physical asset before deciding whether a kit can be assessed for it.
Ask whether the cooler manufacturer permits the proposed modifications and how they affect existing support or other obligations. A working refrigerator is not automatically an approved platform for added locks, sensors or wiring. Have the relevant parties review the changes before installation.
If no cabinet has been purchased yet, compare the combined retrofit project with a complete proposed system. Buying an inexpensive cooler first can create constraints that outweigh the apparent saving.
02 / BUYER NOTES
The phrase “AI kit” is not a complete technical description. Ask what hardware, software and services are included and how the proposed system identifies product removal. Different approaches can depend on camera views, shelf arrangements, weight measurement or other inputs.
Confirm the supported product placement and loading rules. A shelf layout that works for ordinary refrigeration may obscure products or conflict with the proposed sensing method. Evaluate the actual assortment and final packages, including similar-looking variants.
A demonstration on the supplier’s cabinet does not establish performance in your cooler. Request an evaluation plan for the proposed installed configuration and record any limits on shelves, products or customer actions.
03 / BUYER NOTES
List the transaction stages: customer authorisation, door access, product selection, door closure, item determination, charge handling and receipt or support information. Identify which party provides each stage and the interface between them.
Ask how the system handles incomplete journeys, such as an authorised customer who takes nothing, a door that does not close or an uncertain item result. These are procurement questions, not confirmed features of every kit. The response should describe supported behaviour and remaining integration work.
Payment compatibility needs a specific provider, market and implementation plan. A hardware interface or a logo in a brochure does not, by itself, establish a working merchant account or an approved end-to-end payment configuration.
04 / BUYER NOTES
Create separate work packages for cabinet modifications, installation, configuration, product setup and testing. Identify the qualified people responsible for each. This article does not provide instructions for modifying electrical circuits, refrigeration systems or safety-related assemblies.
Ask for a bill of supplied items and a list of items the buyer must provide. A kit quotation may exclude installation labour, network service, payment hardware or ongoing software fees. Compare the full scope rather than the headline price.
Define how software versions and configuration records will be maintained. If an integrator changes one part of the system, the operator should know whether the change affects the supported configuration or requires renewed testing.
05 / BUYER NOTES
A failed sale could involve the cooler, lock, network, payment service, recognition system or customer interface. Assign a first point of contact and a method for directing the issue to the responsible party. Otherwise each supplier may see only its own component.
Separate refrigeration service from retail-system support. Confirm who handles product protection and operational decisions when cooling is unavailable, and who handles transaction issues when the cabinet remains cold. Those responsibilities should not be left to an untrained refill employee.
Document the warranty and support arrangement for the combined installation. A kit warranty may cover supplied components without covering the existing cabinet or the integrator’s labour. Obtain the actual terms rather than assuming a complete-system commitment.
06 / BUYER NOTES
For both retrofit and complete-cabinet proposals, use the same intended product range, site conditions and customer scenarios. Record correct selections, uncertain outcomes, recovery behaviour and service tasks using an agreed test plan. Do not invent an accuracy figure from a few demonstrations.
Include installation effort and time to make the system operational. Also review how the operator adds products, changes packaging and obtains support later. Reusing hardware is useful only if the resulting system can be maintained reliably within the business’s resources.
The final choice should reflect total project scope, available technical capability and evidence from the proposed configuration. Neither a kit nor a complete cabinet is automatically the better option for every site.
May reuse: an existing compatible cabinet.
Clarify: modification, integration, commissioning and support work.
May combine: more equipment within one supply scope.
Clarify: payment, site setup and ongoing service exclusions.
May coordinate: several component suppliers.
Clarify: responsibility for the final tested system.
PRACTICAL ANSWERS
No universal compatibility should be assumed. The cabinet, sensing arrangement, access control and integration need evaluation.
The kit price alone cannot answer that. Include the cabinet, labour, configuration, testing, services and support arrangements.
Only if the quotation explicitly includes the relevant payment hardware, software integration and service scope. Confirm the market-specific arrangement.
YOUR NEXT STEP
Share the cooler details, product range and desired payment workflow with WEIMI. Ask whether a retrofit or complete-cabinet option can be evaluated and request clearly separated integration responsibilities.
